About the role

The Clinical Services Representative supports clinical staff by performing clerical and administrative tasks that help maintain unit efficiency and deliver excellent customer service to patients and visitors. Follows established guidelines and works under close supervision.

Job Standards and Performance Expectations

Patient Medical Records

  • Assemble and maintain patient charts from admission through discharge.
  • Collect printouts, file documents, run reports, and retrieve data as requested by physicians and nurses.
  • Order equipment and supplies; maintain adequate inventory levels.
  • Accurately process patient orders and requests for exams and ancillary services (e.g., x-rays, lab tests, transportation).
  • Coordinate patient admissions, transfers, and discharges.
  • Retrieve medications from the pneumatic tube system or pharmacy and deliver to nursing staff or secure location per nurse manager instructions.

Quality & Customer Service

  • Assist nursing staff with medication retrieval and placement for administration.
  • Act as receptionist: greet patients, direct visitors, and provide information to medical staff.
  • Answer phones using proper etiquette; respond promptly to patient call lights.
  • Maintain a clean, organized work area and ensure office equipment is functional.

Collaboration & Communication

  • Contact physicians for consults and notify nursing staff of updates.
  • Perform other duties as assigned.

Education: High school diploma or equivalent.

  • Training: Medical Terminology or Medical Assistant training preferred; Cerner (CIS) experience a plus.
  • Skills: Strong communication, customer service, and computer skills; knowledge of medical terminology; ability to multitask and operate office equipment.
  • Licensure: Current BLS certification required only in mental health departments.
