Position Overview: The AVP Operations Manager within the Property Operations Department will oversee, manage, and lead the day-to-day operations oversight at the new MiNY campus in Sunset Park. This role will oversee field mechanics who will support overseeing and executing day-to-day tasks and assignments specifically for MiNY. This role may work nights and weekends when needed and will be the main point of contact for the opening campus and daily operations. This role will also oversee the janitorial, security, and on-call retainer contractors who will be responsible for providing dedicated services to the campus.

Essential Duties & Responsibilities:

  • Communication:
    • Respond to tenant requests and provide project updates to Portfolio Management team clearly timely.
    • Assist with prioritizing short term and long-term tenant requests/issues and managing the flow of work orders.
    • Partner with the Portfolio Management and Design and Construction teams on drafting information and status updates on ongoing work 
  • Daily Operations:
    • Work collaboratively with the Associate on the Portfolio Management team to manage the opening of the MiNY campus, prepare for staff onboarding, tenanting, events, contracted staff, and all daily operations.
    • Oversee and manage onsite inspections and approve all incoming requests alongside the AMPM team. Manage the work order system for requests, repairs, maintenance, cleaning, and keeping the campus is pristine condition.
    • Manage daily inventory, back stock and supply purchases.
  • Budget Preparation and Billing:
    • Track expenditures and work with the Business Operations team on invoice processing in Concur, creating commitments against the approved budget when work and projects are initiated ensuring contractors are invoicing appropriately and on time.
    • Identify optimal ways to reduce costs and deliver high quality service.
    • Prepare the annual property budget, mid-year reforecast, and long-term and larger scale project repairs.
  • Contract Administration:
    • Supervise contractors and their delivery of improvements to the buildings within the campus.
    • Serve as liaison between contractors and tenants to maximize cooperation.
    • Assist in creating and implementing daily, weekly, and monthly maintenance schedules and oversee the check-in and check-out process for contractors.
  • Tenant Relations:
    • Monitor tenant improvements and tenant activity and work closely with the Property Operations team on ongoing issues with tenants.
    • Build excellent rapport with the tenants through communication and investigating and resolving complaints in a timely manner.
  • Tenant Move Ins and Move Outs:
    • Act as the point of contact for all move in and move out logistics for new tenants in collaboration with the asset leasing team. Ensure compliance with building insurance standards and lease agreements and enforce occupancy policies and procedures.
  • Safety and Security:
    • Monitor any changes in operational needs that could affect the current contractual obligations from current vendors.
    • Oversee physical security and emergency planning throughout the portfolio.
    • Develop operating, communication, and workflow plans for operational efficiency.
  • Management:
    • Supervise field supervisors and mechanics. Oversee scheduling, delegation of assignments and dispatch of staff. Manage field supervisors’ daily activities and performance.
    • Ensure crews and supervisors are following appropriate program policies and procedures.
    • Manage quality of work, productivity, professionalism and overall performance directly as needed.
    • Ensure that field supervisors are overseeing work crews’ delivery of services.
    • In collaboration with the third-party employer, monitor disciplinary processes of janitorial and security staff.
    • Make recommendations regarding hiring, termination, and disciplinary actions.
    • Provide leadership and strategic direction for the team and for the success of the campus.
  • Additional
    • Required to be available 24/7, including rotating shifts and weekend and holiday coverage.
    • Other duties as assigned

Qualifications:

  • Bachelor’s Degree in Facilities Management, Business or equivalent.
  • 3-5 years of experience in building, and/or maintenance mana
