This position can be part time (20 - 29 hours per week) or full-time (up to 40 hours per week).

 

JOB SUMMARY

The Warranty and Parts Coordinator is responsible for managing the warranty process, maintaining parts inventory, guaranteeing parts availability and efficiently coordinating timely delivery of parts.

 

PRIMARY RESPONSIBILITIES

  • Manages the warranty claim process including receiving, documenting, tracking and adjudicating warranty claims in alignment with EO Johnson Business Technologies warranty policy
  • Processes and oversees warranty claims to maximum reimbursement allowances from suppliers
  • Maintains accurate records of warranty submissions, approvals, denials, and pending claims for accurate tracking
  • Collaborates closely with the Inventory Manager on status of warranty claims and finance department to ensure seamless warranty payment processing
  • Assesses, organizes, and completes all necessary paperwork and documentation as requested by suppliers regarding warranty claims
  • Coordinate timely delivery of parts or replacements as per supplier guidelines, ensuring prompt resolution
  • Receive parts and replenish stock bins within main parts room to ensure inventory availability
  • Collaborates with Call Coordinators efficiently deliver parts to technicians for scheduled return visits
  • Generates and handles purchase orders from vendors using the ERP system and other web-based tools for streamlined efficiency
  • Monitors back-ordered parts and provides ETA to customers and technicians
  • Utilizes the ERP system to manage inventory levels, update pricing, and transfer parts
  • Rectifies and thoroughly documents any inventory discrepancies for accurate tracking.
  • Works in conjunction with branch offices to fulfill orders and execute precise parts transfers.
  • Packs and transfers parts for Service Technicians and customers' orders accordingly
  • Assists in conducting inventories across all warehouses to ensure accurate stock levels
  • Performs other various tasks as assigned by the manager to support departmental operations effectively

 

MINIMUM REQUIRED EDUCATION & EXPERIENCE

  • High School diploma

 

PREFERRED EDUCATION & EXPERIENCE

  • 2 or more years in inventory management or warranty claims

 

ADDITIONAL ELIGIBILITY QUALIFICATIONS

  • Strong computer skills, proficient in Internet based applications, Microsoft Excel/ Outlook and inventory software systems
  • Works proficiently within the business ERP system
  • Strong organizational skills
  • Ability to communicate effectively with a wide variety of people and vendors
  • Ability to work in a fast paced, demanding environment
  • Ability to work with a team, as well as independently
  • Attention to detail and problem-solving skills
