Position Summary:
This position supports the academic programs of the Anthropology Department and also provides general office support. This position provides administrative coordination for our graduate programs, serving as a point of contact to students, prospective students, and faculty on matters related to course management and enrollment, program requirements, policies and procedures, and other administrative matters. Supports student administration through processing course permits, maintaining student files and records.
Schedule:
On-campus with option for hybrid schedule upon satisfactory completion of probationary period. To be discussed further upon completion of probationary period.
Job Duties:
Student Services:
- Process course permits
- Assists students with University policies and procedures
- Determines program requirements and pre-requisites
- Coordinates with Registrar and college information
- Assists with or facilitates comprehensive exams
- Maintains ALL students files and records (current, graduating and alumni)
- Acts as a liaison with Graduate School and College Academic Associate Deans office, adhering to policies & procedures
- Assists students with teaching and research assistantships
- Manages graduation and academic processor forms
- Liaison between students and their faculty advisors regarding guidelines, GPA and program
- Manages graduate application
General Office Support:
- Directs incoming telephone calls and takes messages for teaching assistants, faculty, adjuncts and staff
- Responsible for mail
- Orders supplies/equipment
- Maintains calendars for all departmental conference rooms
- Updates office assignment charts, address and telephone lists
- Coordinates key distribution and reconciliation, assuring that students who leave the department returns their keys and the keys are forwarded to the Physical Plant
- Responsible for updating the department webpage
- Coordinates textbook orders and resolves with USF bookstore
- Maintains supply of scantrons for class exams each semester
- Department event planning (faculty retreat, year-end party and graduate orientation
- Updates professional organization directory
- Enters Physical Plant work orders
- Ensures FWS general office duties are completed
Course Management:
- Monitors enrollment levels
- Enters information into BANNER/OASIS student database system
- Special room requests as needed
Other duties related to student services as needed
Minimum Qualifications:
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/ technical training may substitute at an equivalent rate for the required experience.
