Position Summary: This position is primarily responsible for daily operations of the branch, including supervising accounts payable, payroll, computer training, and financial statement preparation. Additional responsibilities include assisting the Associate Vice President of Youth Development basic administrative areas. This position reports to the Associate Vice President of Youth Development, the Business Manager provides a variety of customer service, clerical, and financial support services to the Youth Development department and YMCA centers, engaging and supporting families with the utmost customer service through the enrollment process. They establish and maintain department records, coordinate assigned projects, and compile and distribute a wide array of information and reports. This position works to ensure compliance with state subsidy policies and works with families to coordinate all facets of billing registration and payments.
Key Functions/Responsibilities:
- Assure that the branch payroll is accurate and completed on time.
- Assure that the day-to-day accounting and computer functions are working properly.
- Create exemplary Y experiences for our families by engaging them in meaningful conversations, responding in a timely manner to their inquiries, and by communicating to program staff any experience issues that they may have.
- Become an expert on YMCA programs to support efforts to acquire new families by actively listening to families' needs and matching them to the appropriate programs
- Assist in balancing and submitting all monthly, quarterly, and annual reports to the proper state and federal agencies
- Act as liaison between Business Manager of Child Development and families to ensure that registration payments are made, receipted to the family, and distributed to the proper outlets
- Responsible for all program registrations including the collection of complete documentation of all EEC initial applications and annual renewal applications.
- Assist qualified families through the financial support program process. Work with families through compiling required documentation for financial support programs.
- Process all terminations in Traction Rec (or other applicable YMCA registration software) in a timely manner.
- Have an understanding of SGA. Manage accounts payable system insuring accurate, timely production of all purchase orders and payment of all vendors.
- Must be able to communicate effectively with the Finance and Human Resource Department.
- Manage wait list and enter attendance for children with EEC subsidies in the central CCFA database (Childcare Financial Assistance).
- Maintain a complete and systematic set of records of the financial transactions in the program.
- Process branch expenses noting any variances or projected variances and sharing these concerns with the Associate Vice President of Youth Development.
- Assist with monthly closing process in collaboration with Associate Vice President of Youth Development, Operation Directors, and Association Finance office.
- Manage the accurate processing of all revenue passing through the Branch, including point of sale, credit and cash handling/storage and daily cash reconciliation from the main building and off-site.
- Work with the Youth Development Business Office to conduct regular internal audits.
- Maintain organized and updated files for all EEC and Voucher Children.
- Additional responsibilities as deemed necessary by supervisor and program needs.
