Summary
This position is responsible for performing clerical, administrative duties and criminal justice support services in an office setting in support of Patrol and Warrant Officer functions by administering VCIN/NCIC duties, maintaining criminal and civil process papers, providing advice to, and taking reports from the general public, and completing other functions as deemed necessary in support of general police department activity and law enforcement functions.This position will require you to work 12 hour shifts from 6:00am - 6:00pm and 6:00pm - 6:00am. These shifts rotate from daylight to night shift every 6 weeks. This schedule includes working weekends and holidays.
Examples of duties
- Assesses non-emergency phone calls and in person requests by obtaining crucial and pertinent information in order to prioritize problems and determine the appropriate response.
- Receives and documents telephone and in-person reports of criminal activity and other noteworthy events and follows through, resolves and seeks feedback regarding questions, requests and/or complaints in a timely manner.
- Assists citizens in returning, collecting, or handling evidence and/or found items.
- Handles general citizen inquiries by telephone and in-person; directs and/or escorts citizens to appropriate departmental units or personnel for assistance.
- Interviews witnesses and victims in person or by phone and completes detailed incident reports.
- Send, receive, and disseminate messages to and from other agencies and jurisdictions through the Virginia Criminal Information Network (VCIN).
- Obtains and distributes NCIC, VCIN, and DMV records and files as needed and in accordance with departmental and state guidelines and adheres to department and state guidelines regarding confidentiality of information.
- Operate, manage, and process court and police documents for mandatory entry and maintenance in the Virginia Criminal Information Network (VCIN) including: wanted subjects, protective orders, missing persons, stolen firearms, stolen vehicles, stolen articles, towed vehicles, etc.
- Execute extensive file searches and updates relative to criminal history, hazard information and record management data.
- Maintains arrest warrants through the entry, modification, and deletion of warrant information from the Records Management and NCIC / VCIN systems.
- Maintains liaison and a positive working relationship with various other law enforcement and judicial agencies to include the Lynchburg City Courts.
- Works within a team environment; exhibits common courtesy and basic communication skills.
- Maintains confidentiality.
- Prepares correspondence and other written materials for review, using appropriate grammar and spelling and a writing style necessary to effectively communicate.
- Reads, interprets and applies Virginia state law; City and agency policies and procedures.
- Maintains accurate records using alpha and numeric filing skills.
- Uses basic mathematical formulas and calculations pertinent to job assignment.
- Manages competing demands, learns new skills and translates prior experience into new skills.
- Develops innovative approaches and ideas; improves processes and services.
- Volunteers readily and seeks to increase responsibly.
- Provides crime prevention information and educational materials to the community.
- Occasionally provide testimony in criminal or civil court proceedings.
- May be required to work outside of normal work hours to include additional overtime hours
- May be required to work during inclement weather or other conditions or to respond to work in other abnormal situations.
- Other duties to provide direct or indirect service to the citizens may be assigned.
- When unusual situations occur and/or the City Manager declares a State of Emergency, all City employees may be required to accept special assignments and perform as needed to ensure appropriate service delivery.
