This position reports to the Senior Director, or another management personnel that the President/Senior Vice President of the Company may designate. This position may be remote of working in the Irvine Office, Californian. Working hours are Monday through Friday, from 8:00am to 5:00pm or 9:00am to 6:00pm local time. This position is expected to travel up to 25%.  

RESPONSIBILITIES

  • The Associate Director of PMO, on assigned projects, will be the primary gatekeeper for project budget, schedule updates, risk management, and other essential functions. In this role, the Associate  Director of PMO  will spend significate time managing and coordinating project activity.  Heavy emphasis on project schedules with stakeholders using Procore, MS Project, P6, or other software as required by company.  The Associate Director of PMO  will perform various project and schedule management functions ensuring that work being done in a particular order so as to attain efficiency in the project schedule of assigned projects. This includes coordinating with Development, PMO, EPC, Finance and other stakeholders to ensure the project schedules are accurate and up to date to meet company objectives. 

  • Additionally, the Associate  Director of PMO  will:
  • Coordinate internal resources and third parties/vendors for execution of projects
  • Ensure that all projects are delivered on-time, within scope and within budget.
  • Developing project objectives, involving all relevant stakeholders and ensuring feasibility
  • Ensure resource availability and allocation
  • Develop a detailed project plan to track progress
  • Use verification techniques to manage changes in project scope, schedule, costs, risks
  • Measure project performance using appropriate systems, tools and techniques
  • Report and escalate to management as needed
  • Manage the relationship with the client and all stakeholders
  • Perform risk management to minimize project risks
  • Establish and maintain relationships with third parties/vendors
  • Create and maintain comprehensive project documentation
  • Create and/or organize project schedules and ensures the data is updated appropriately.
  • Work with leadership to develop portfolio and executive level dashboards identifying critical path milestones, schedule risks, and other key data needed.
  • Development project schedule baseline templates for the various regions to create efficiencies for company and stakeholders.
  • Understand functionality and best practices for MS Project and/or P6. Notably, how to use filter, critical path, late, and milestone features.
  • Coordinate with project stakeholders to ensure that all scheduling activities are accounted for and documented.
  • Each project schedule should document a baseline plan versus actual performance.
  • Familiar with key performance indicators, schedule and cost performance index (KPIs).
  • Project schedules may incorporate activity budgets.  
  • Rectify, understand, and/or reconcile differences and schedule inaccuracies.
  • Distribute project schedules to stakeholders, solicit feedback, identify discrepancies, corrections are made as needed, and company’s schedule updates are accounted for.
  • Maintain project schedule data documents in the appropriate location as assigned by company and project team.
  • Serve as the MS Project and/or P6 scheduler to support project needs.
  • Create and maintain a master program schedule inclusive of all projects across regions/portfolios.
  • Identify and include internal client tasks and durations in the project schedules
  • Understand cost load schedule activities and utilize level of effort activities so that the schedules can be exported and tied to other cost reporting tools such as Microsoft Excel.
  • Interact with the Client and Director of PMO ’s project controls and planning staff to assist with preparing project schedules and cost reports for all identified projects.
  • Support Client’s finance group by preparing additional scheduling reports for specified jobs.
  • Generate schedule reports, reporting, and analysis.
