Job Summary:


The Medical Assistant Lead serves as the clinical and operational leader for Medical Assistants and designated support staff. This role combines direct patient care responsibilities with leadership duties, including staff scheduling, payroll review, attendance management, onboarding, competency development, workflow oversight, and compliance monitoring.

The Medical Assistant Lead works within a team-based care environment to ensure efficient clinic operations, exceptional patient service, regulatory compliance, and adherence to Medical Assistant scope of practice. The Lead acts as a liaison between frontline staff, providers, and leadership while supporting organizational goals related to patient access, quality outcomes, employee engagement, and operational efficiency.


Key Responsibilities:


Essential Leadership Responsibilities

Staff Leadership & Supervision

  • Provide day-to-day leadership and support for Medical Assistants and clinical support staff.
  • Monitor workflow, staffing assignments, and patient flow throughout the clinic.
  • Assist with onboarding, orientation, training, and competency validation of new staff.
  • Coach employees regarding performance expectations, workflows, customer service standards, and organizational policies.
  • Identify training opportunities and assist with corrective action plans as directed by leadership.
  • Serve as a role model for professionalism, teamwork, and patient-centered care.
  • Participate in interviewing and hiring processes when requested.
  • Collaborate with managers regarding staffing needs, employee concerns, and operational improvements.

Workforce Management Responsibilities

Scheduling & Staffing

  • Develop and maintain clinic staff schedules to ensure adequate coverage.
  • Coordinate daily staffing assignments, breaks, lunches, and provider support schedules.
  • Manage schedule adjustments related to vacations, leave requests, call-ins, and unexpected staffing shortages.
  • Monitor staffing patterns and recommend adjustments to improve operational efficiency.
  • Assist with after-hours and weekend coverage planning as applicable.
  • Ensure staffing aligns with clinic volumes and provider schedules.

Payroll Administration

  • Review employee timecards for accuracy and completeness.
  • Monitor attendance, tardiness, missed punches, and overtime utilization.
  • Verify payroll data prior to submission.
  • Ensure appropriate coding of regular hours, PTO, sick leave, holiday pay, and other leave categories.
  • Communicate payroll discrepancies to employees and management.
  • Assist staff with timekeeping system questions and corrections.

FMLA and Leave Administration Support

  • Support managers and Human Resources in tracking employee leave usage.
  • Monitor attendance and communicate leave-related concerns to management and HR.
  • Ensure employee absences are documented according to organizational policy.
  • Assist with staffing plans related to FMLA, ADA accommodations, workers' compensation, and extended leaves.
  • Maintain confidentiality of all employee medical and leave information.
  • Coordinate return-to-work schedules and temporary staffing plans when directed by management.
  • Note: Final determinations regarding FMLA eligibility, leave approvals, ADA accommodations, and disciplinary actions remain the responsibility of Human Resources and designated leadership.


Clinical Responsibilities


  • The Medical Assistant Lead performs all duties within the scope of practice permitted by state regulations, organizational policy, provider delegation, and demonstrated competency. Responsibilities may include:
  • Rooming patients.
  • Obtaining and documenting vital signs.
  • Collecting patient histories.
  • Medication reconciliation.
  • Preparing patients for examination and procedures.
  • Administering medications and immunizations as ordered by licensed providers.
  • Performing point-of-care testing.
  • Collecting laboratory
