Job Description Summary:

Exhibits proficiency in supporting the activities of the Specialty Asset group to which they are assigned. Responsible for ensuring the correct steps are followed with regard to policies, procedures and daily business activities which may include payable/receivable processing, asset set up, removal and annual reviews and compliance-related processes. Demonstrates an understanding of business system as well as strong organizational skills with knowledge of how business systems can be used to track deadlines. Assists partners and clients with questions regarding business systems and management of assets. Resolves problems and seeks to improve processes.  Performs tasks and duties according to established procedures. Requires advanced skills and expertise in a variety of work processes or activities. Works autonomously within established procedures and practices.

Major Duties:

  • Assists asset managers in the collection of information necessary for the completion of Annual Investment Reviews communicating as necessary with partners and outside third parties

  • Assists asset managers with the collection of rents, payment of expenses, collection of extraordinary fees, and confirmation of insurance where appropriate 

  • Track due dates, deadlines and expirations and work with asset managers to insure timely completion of tasks

  • Assist asset managers with engaging appraisals and coordinating site visits.  Update appraisal information in Yardi.  Add assets to Yardi with input from the trust officer. Follow up with trust officer to get any documentation that is needed to properly place the asset on record

  • Assists partners and clients with questions regarding business systems, which may include payment of expenses, collection of revenues, generating reports, etc.

  • Assists with system development, testing and training as needed

  • Has mastery of, and assists with the documentation of, policies and procedures

  • Performs compliance functions as directed by division management

  • Completes other administrative functions as needed or requested

  • Assists with the resolution of audit and regulatory issues as required within agreed timeframes

  • Identifies, assesses and escalates compliance issues/concerns to supervisor

  • More technically sound in area of expertise and has broader knowledge of other areas

  • Delivers a work product that requires minimal revisions

  • Able to facilitate discussions, make recommendations and reach decisions

  • Gathers and analyzes data to identify and solve complex problems that arise with little or no precedent

Knowledge:

  • Knowledge of specific area of practice, usually acquired through formal education or work experience.

  • Thorough understanding of compliance policies and procedures in order to ensure the completeness and adequacy of Annual Investment Reviews and the proper management of assets.

  • Analytical and communication skills required to analyze and summarize information and effectively communicate with partners and third parties. 

  • Strong organizational skills required to coordinate compliance activities.

  • Requires advanced or specialized skills and expertise in a range of processes, procedures and systems

Experience:

  • A College or University degree or 5-10 years of proven work experience is preferred

Salary Range:

$55,800 - 89,400 USD

Salary range is a good faith estimate of base pay.
