About the role
Under the general guidance of the Manager, Facilities & Events, the Facilities Coordinator executes critical facilities operational functions toward ensuring a safe, clean, functional, and aesthetically pleasing campus environment. Leverages industry knowledge and best practices to promote the mission and vision of the Facilities organization and the institution as well as supports culture development and management efforts.
Education/Experience:
- High school diploma or GED equivalent required.
- Minimum two (2) year’s experience functional expertise in facilities coordination, events coordination, or related functioning required. Higher education or experience preferred.
Knowledge/Skills/Abilities
- Knowledge of foundational customer service principles focused on effective time management and timely follow-up and follow through
- Ability to proactively predict and forecast needs based on facility operations and event planning principles
- Ability to consistently identify ways to ensure a safe, clean, functional, and aesthetically pleasing environment for all community stakeholders
- Ability to leverage strong research acumen and critical thinking acumen toward problem-solving
- Ability to proactively identify challenges and barriers to stated objective and employ assistance in addressing these
- Ability to react to challenges in a calm and quick manner
- Strong collaboration acumen and abilities
- Demonstration of Emotional Intelligence and professional maturity
- Proficient and functional knowledge of MS Office (Work, Excel, PowerPoint, and Outlook)
- Strong communication acumen including written, oral, and listening
Supervision (if applicable): Student Worker supervisions/management
Essential Duites & Responsabilités:
- Ensures the cleanliness and general upkeep of the University, including common areas, kitchens, offices, meeting rooms, and classrooms
- Provides continued assistance and information to faculty, staff, and outside organizations regarding facility use and capabilities; maintain contact with clients via phone and written correspondence
- Inventory management of all facility provided items: office supplies, shipping supplies, key access, etc.
- Assist with on and off-boarding all staff, faculty, and students
- Provides daily meeting set-up support in meeting rooms and classrooms as requested
- Recommends, coordinates, and directs the appropriate utilization of space and the solution of other facility-related issues, including all office moves and new employee office space
- Work internally and externally with vendors to address issues such as: lock-outs, temperature calls, light maintenance, and key requests
- Maintains up-to-date knowledge of campus policies and procedures as it relates to fire code, events process, campus hours, security process, after-hours guests, holiday schedule, etc.
- Assist with oversight of vendor management for all preventative maintenance as well as repairs
- Provides reception back-up when necessary: greeting visitors, checking-in guests, and issuing guest badges
- Creates, assigns, and follows-up on work orders to address and solve technical building issues. Provides reports and work order statuses to Facilities and Events Manager
- Assist with invoice management and payment
- Work with primary internal or external event contact to plan, set-up, and execute all event operations
- Coordinates with IT for event set-up when necessary
- Manage stock management throughout campus including, but not limited to, copy rooms, restrooms, supply closet, and all staff workspaces.
