Primary Function:

The Epic Willow Specialty Pharmacy Analyst is responsible for the design, build, configuration, testing, implementation, and optimization of Epic’s Willow Specialty Pharmacy module. This role supports the unique workflows of specialty pharmacy services, including patient enrollment, therapy management, refill coordination, and accreditation tracking. The analyst collaborates with pharmacy, clinical, and IT stakeholders to ensure the system supports high-quality, patient-centered care and meets regulatory and operational requirements.

Principal Duties and Responsibilities:    

  • Lead the implementation and ongoing optimization of the Epic Willow Specialty Pharmacy module.
  • Configure and maintain specialty pharmacy workflows including patient enrollment, outreach scheduling, refill management, and therapy goal tracking.
  • Collaborate with pharmacy leadership and clinical teams to gather requirements and translate them into system design and configuration.
  • Support integration with financial assistance programs, prior authorization tracking, and specialty program eligibility criteria.
  • Develop and maintain work queues, accumulators, and reporting tools to support accreditation (e.g., URAC, ACHC, TJC) and operational efficiency.
  • Ensure seamless communication between pharmacy staff and care teams using tools like Secure Chat, In Basket messaging, and MyChart.
  • Provide training and support to pharmacy staff, ensuring effective use of Epic tools for specialty workflows.
  • Participate in audits and support documentation and reporting for accreditation and compliance as needed.
  • Provide ongoing support and troubleshooting for the system post-implementation, addressing user issues and concerns promptly. 
  • Facilitate regular meetings and communication with stakeholders to ensure alignment and collaboration. 

Education and Experience Requirements:

  • Minimum Bachelor’s degree in Healthcare, Information Technology, or a related field or higher preferred.
  • 2-3 years of experience working with Epic systems or similar EHR platform required. 
  • High School diploma with 5 years of related experience may be considered in lieu of bachelor’s degree.
  • Epic Specialty Pharmacy or Willow Ambulatory Certification preferred.
  • Experience with Epic Compass Rose preferred

Knowledge, Skill, and Ability Requirements:

  • In-depth understanding of specialty pharmacy operations, including therapy management, patient outreach, and financial assistance coordination.
  • Experience configuring Epic tools such as accumulators, work queues, and specialty program workflows.
  • Familiarity with accreditation standards and documentation requirements for specialty pharmacy.
  • Strong analytical, problem-solving, and communication skills.
  • Ability to work independently and collaboratively in a fast-paced healthcare environment.
  • Experience with project management and delivering system enhancements on time and within scope.
  • Strong communication and interpersonal skills.
