Organizational Role and Position Summary
Duke Executive Education is seeking a dynamic and client-focused Program Manager (level 10) to join our team. The Program Manager is responsible for the planning, implementing, delivery and management of high-quality executive education non-degree programs conducted by Duke’s Fuqua School of Business, which are designed to address the professional development needs of senior executives and organizational leaders. The Program Manager oversees a diverse portfolio of open enrollment and tailored programs. They act as the key Executive Education point of contact for executive participants, clients and faculty and represents the department on key projects and committees. The ideal candidate should have a proven track record in program management, a keen understanding of executive education trends, and exceptional organizational and communication skills. The position reports to the Associate Director for Program Management.
Responsibilities of the Position:
50% Program Coordination
- Following department standards of excellence, the program manager completes program coordination tasks, related to program scheduling, determining physical space and technology needs, setting and maintaining learning management system access, planning catering, compiling program instructional materials, and ensuring day-of event collateral is prepared and accurate.
- Act as main point of contact for faculty related to program materials, schedule, contracting, and participant or department-related communication to ensure program deliverables are clear and quality standards of instruction are being maintained.
- In a timely manner, working strategically weeks before and after the delivery of a program, manage faculty materials: prepare instructions for vendor production of those materials, monitor quality of the results, and provide feedback to vendors.
- Develop, organize, maintain and update accurate program records to document schedules, materials, faculty, speakers and evaluations associated with program delivery.
- Provide timely, clear communication with client firms, participants, faculty, other Program Managers, and other staff members.
- Manage communication to obtain and provide information on a schedule that varies by program, respond to participant/client inquiries, handle exceptions and special requests, and jointly plan logistics.
- Oversee production and mailings of pre-program materials, production of materials used during program delivery and of post-program sharing of course materials.
- Provide direction, instructions and information to conference planning staff at the JB Duke Hotel and David Thomas Conference Center or off-site facilities to guide event planning, lodging, meal and other logistical arrangements.
- Schedule and manage communication and relationships with vendor firms. Troubleshoot jointly with vendors when they encounter roadblocks to timely and effective delivery of Executive Education materials and services. Monitor quality and recommend a plan to address deficiencies.
- Coordinate the pre-program meeting in which all logistical plans for an upcoming program are reviewed and discussed by the team. Primary responsibility in that meeting for identifying remaining information and decisions needed for a completed delivery plan.
- Represent Duke Executive Education, The Fuqua School of Business, and Duke University at all client functions. Serve as primary contact for Duke Executive Education participants and faculty.
- Partner with Academic Program Director and faculty to manage the delivery of outstanding Executive Education to clients. Responsibilities include creation of program schedule; overseeing the program admissions process; managing the collection of academic materials utilized in each program from faculty (e.g. cases, books, articles and simulations); preparing materials for distribution among participants and stakeholders; managing the process of securing copyright permissions; managing faculty classroom needs.
