Job Summary

Under the direction of the Clinical Manager, assists genetic counselors in their role of providing patient care services. Performs administrative duties of a complex and sensitive nature. Provides support to department's genetic counselors with patient letters, document scanning prep and MyFamily e-pedigree additions/subtractions. Assists Clinical Manager in tracking genetic counselor patient visits. Functions as liaison with inter- and intra-clinical department members. Performs other related duties as assigned.

                         

Job Details

Responsibilities:

  • Assist Genetic Counselor with patient care duties, such as charting patient letters, sending out encounters, ordering patient medical records and escorting patients when necessary.
  • Assists Genetic Counselor research study coordinators with logistical aspects of study protocols, e.g. perform chart reviews, ensure proper documentation and filing of Consent and IRB files, etc.
  • Coordinates patient lab testing add-ons and interface with reference labs for sample processing and result reporting.
  • Coordinates and participates in Clinical Operations working groups.
  • Assists Genetic Counselors with various marketing outreach and special projects, such as creating and assembling specific clinic folders, etc.
  • Works with My Family team in documenting information on e-pedigrees and re-creating pedigrees with family disease history.
  • Preps medical records, genetic test results and pedigrees to be sent down to Health Data Services to be scanned.
  • Schedules and coordinates interviews for open positions and visitors.

Education:

  • Associates' degree in Arts or Science field of study.
  • Knowledge of office procedures, organization and correspondence formatting.
  • Knowledge of EPIC is highly preferable.
  • Genetics knowledge is desirable.

Certifications:

  • None required.

Complexity of Work:

  • None required

 Work Experience:

  • A minimum of three years of experience as a secretary in a healthcare field or a minimum of two years of experience in a Genetics or other related environment is required.
  • A Bachelor's degree in a science, such as Biology, Genetics, or Psychology will substitute for the required work experience.
  • Computer Skills (e.g., MS Word, Excel, Outlook, PowerPoint), phone skills, people skills, ability to work in team environment, ability to multitask.

Physical Requirements:

  • Manual dexterity sufficient to operate a computer and other basic office equipment.
  • Ability to stand, walk, and bend for extended periods throughout the work day.
  • Ability to carry medical charts and books.
  • Infrequent exposure to bodily fluids is possible.

Personal Protective Equipment:

  • Follows Standard Precautions using personal protective equipment.
