The Donor Services Specialist oversees the daily entry of donor and gift data in the donor management system, ensuring the accurate recording of gift information, prompt gift acknowledgments, and coordination with the finance and accounting department to reconcile revenue within the Coalition’s accounting systems. This role responds to donor inquiries and provides excellent customer service to supporters, helping ensure a positive donor experience. Highly collaborative, the position supports Philanthropy team members in maintaining continuity in the department’s interactions with and stewardship of donors.

Essential Job Functions
- Responsible for processing donations from multiple sources, including retrieving gifts from incoming sources, receiving donation and gift information, and entering gifts in database using data entry protocols and maintaining data integrity.
- Responsible for gift stewardship through producing and distributing all gift acknowledgements, tax receipts, and tax credit documentation, following standard operating procedures for timeliness and communication.
- Responds to all donor inquiries and requests, representing the organization with strong customer service skills.
- Reconciles donation data with the finance and accounting teams on a regular basis, including producing monthly and annual reconciliation reports.
- Maintains organizational presence and updates information on external giving and evaluation platforms such as Charity Navigator and workplace giving sites.
- Partners with Associate Director of Philanthropy Services and Vice President of Philanthropy to produce reports.
- Ensures timely & accurate use of all company systems as required while maintaining complete up-to-date records and any future upgrades as directed.
- Performs other job duties as assigned.
Qualifications Summary
- Minimum three (3) years of experience in data entry, database management, or gift processing role.
Education, Experience and Job Competencies
- Bachelor’s degree in related field from accredited college or university or equivalent experience is desired.
