Summary:

As part of AAO's Airport IT purchasing team, the Senior Procurement Specialist will manage procurement activities for project and post-implementation requests, ensuring timely delivery of equipment by collaborating with stakeholders. The role involves analyzing logistics constraints, identifying optimal sourcing channels, ensuring compliance with purchasing policies, and estimating hardware costs. Additionally, the specialist will contribute to the definition, improvement, documentation, and communication of purchasing processes and policies. This position aims to control costs, drive service excellence, and mitigate risks in partnership with global vendors, enhancing overall operational efficiency and the passenger experience.                                                                                                                                                              

In this role you will:

Coordinate Hardware quote requests for new opportunities and clarify logistics constraints:

• In charge of getting all Hardware and freight costs for new opportunities from Airport vendors
• Coordination with vendor managers and Solution Design Team
• Clarification of logistics constraints (Customs clearance documentation, usage of local vendors, taxes..)
• Ensure compliance with Group purchasing compliance & Provide inputs to Manager for Solution Review Meeting

Manage purchasing activities for projects and post-implementation change requests:

• Understand and clarify the Bill of Material with stakeholders to ensure the correct equipment is ordered.
• Order hardware, software, and services in line with customer requirements and Amadeus' - contractual commitments.
• Ensure seamless delivery of hardware to required destinations according to the project plan.
• Follow up on internal purchasing processes.
• Communicate clearly and promptly with internal and external project stakeholders regarding order and delivery progress.
• Ensure timely payment of vendor invoices within contracted timeframes.
• Transfer ownership of hardware warranties to the customer

Serve as the entry point for Accounts Payable regarding invoice queries related to project purchases:

• Investigate VAT anomalies and other invoice dimensions as needed.
• Manage communications with vendors and address disputes when required.
• Ensure timely and accurate payment of invoices through an efficient process.
• Maintain healthy relationships with vendors.

Document airport purchasing policies and processes, procedures and tools of Airport procurement lifecycle:

• Define and improve airport procurement processes.
• Identify and enhance procurement tools.
• Ensure compliance with corporate purchasing internal policies.

About the ideal candidate:

• Bachelor’s degree in business administration, Finance, Accounting, or Supply Management.
• Minimum of 5 years of relevant experience in procurement and logistics-related activities, preferably in the telecommunications and/or aviation industry.
• Experience of Business Understanding and analytical thinker
• Ability to understand high-level solutions and the impact of improvement projects, new/changed processes, and new/changed tools.
• Ability to understand inter-dependencies between different business areas.
• Ability to understand and analyze legal terms and conditions and extract essential information from contractual documents.
• Experience discussing finances, budgets, and costs.
• Proficiency in Excel, Word, and PowerPoint; experience with COUPA is a plus.
• Excellent written and spoken communication skills in English
• Excellent organizational, administrative, and communication skills.
