Specialist, Payroll Accounting (Netherlands entities)

Based in Netherlands or Lisbon (hybrid)

Purpose of the role.

As a Payroll Specialist, you will be at the heart of ensuring accurate and efficient payroll processing for Organon Netherlands. Your role will involve managing payroll mutations, collaborating closely with HRSC, Tax, Finance, and HR colleagues to address payroll-related inquiries, and maintaining seamless communication across departments. Working as part of a small, dedicated team, you will report directly to the Payroll Lead CEMEA, with the main office situated in Oss, Netherlands.

In this position, you will contribute to shaping the payroll function and optimizing the delivery of Payroll services. Your expertise will be pivotal in adding significant value to the Netherlands organization by ensuring cutting-edge Payroll operations, regulatory compliance, and operational excellence. Additionally, you will act as a key liaison to multiple internal stakeholders, fostering collaboration and alignment across the business.

Main responsibilities              

  • Ensure the accurate and timely processing of payrolls for all Netherlands entities.
  • Oversee the output of standard personnel and salary changes, including workflows from the HR Support Centre.
  • Review personnel and salary changes for accuracy and compliance with collective bargaining agreements, laws, and regulations.
  • Stay informed about developments in payroll-related fields and advise on changes in collective agreements, legislation, and regulations, including social security and taxation. Support the implementation of new regulations as needed.
  • Handle payroll tax returns, reconciliations, tax payments, and social security contributions, while ensuring alignment with financial administration processes and controls.
  • Perform all payroll-related controls required for SOX compliance and other audits.
  • Manage the processing of expatriates and commuters, consulting on international remuneration matters in collaboration with EY and Global Mobility teams.
  • Administer Citibank payment processes efficiently and accurately.
  • Contributes to the development and implementation of payroll policies, procedures, and internal controls to ensure compliance and efficiency.
  • Address and resolve all internal and external inquiries related to payroll, social insurance, and taxation matters.
  • Ensure a precise and timely close for monthly, quarterly, and year-end activities, including account reconciliations for payroll-related balances.
  • Prepare periodic metrics reports to assess department efficiency and volume and support the creation and maintenance of a payroll dashboard.
  • Drive process improvement initiatives to standardize payroll processes across sites, adopt best practices, and reduce operational complexity.
  • Collaborate effectively with key stakeholders such as the HR Service Delivery organization, HR Business Partners (HRBPs), Health coordinators, and Finance teams.
  • Maintain documentation for the payroll system (AFAS), while focusing on process optimization and continuous improvement.
  • Participate actively in projects and working groups to support organizational goals and initiatives.

Your profile

  • A bachelor’s degree in finance, Business, Accounting, or a relevant Payroll qualification. Alternatively, substantial professional experience and demonstrated exceptional ability may substitute for a formal degree.
  • A minimum of five years of experience in a complex multinational business environment, with a particular focus on Payroll across multiple entities. Background in HR is an added advantage.
  • Proven expertise in Service Delivery within HR or Finance, including managing SLAs, addressing customer needs, and resolving escalated issues.
  • A strong understanding of international remuneration practices.
  • Comprehensive knowledge of Payroll processes, including equity-based compensation, expatriates, commuters, and Restricted Stock Units (RSUs).
  • Familiarity with current developments in Payroll, Law, Social Security, and Tax regulations.
  • Practical experience in payroll processing using AFAS Profit software.
  • Demonstrated technical proficiency in automated systems and processes relevant to your responsibilities.
