Job/Department Summary:
Working independently under general direction, the incumbent serves as the primary administrative, operational, and analytical coordinator for the Honors and Civic Engagement programs, two complex, student-facing program areas with multiple ongoing activities, events, academic support functions, student employment processes, and cross-campus partnerships. The position oversees day-to-day office operations; sets and adjusts operational priorities; coordinates workflow across both programs; assigns, trains, schedules, monitors, and reviews the work of student employees; and ensures timely completion of unit-level administrative outcomes.
The position performs analytical work to support effective program operations, including reviewing office workflow, budget and expenditure activity, student employment processes, communications systems, event logistics, records, tracking tools, and administrative procedures. The incumbent identifies operational issues, evaluates alternatives, recommends and implements process improvements, and develops tools and procedures that improve accuracy, consistency, service, compliance, and continuity across both programs. The incumbent also compiles, reviews, and analyzes information for end-of-year reporting, grant writing, grant renewals, and related program planning materials.
The work requires significant independence, discretion, judgment, and accountability in a high-volume office environment serving students, faculty, staff, families, community partners, and senior campus leadership. The position regularly handles sensitive information, competing deadlines, high-visibility events, budget and payroll processes, and operational issues that affect recruitment, retention, civic learning, academic enrichment, and student success.
Required Education and Experience:
This position requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. These qualifications, and those listed above, would normally be obtained through completion of a high school program, technical/vocational program, or their equivalents combined with four years of related office work experience.
Preferences:
Preference may be given to applicants with the following as they may be considered specialized skills:
- Experience supporting student success, retention, equity, civic engagement, academic enrichment, or high-impact student programs in higher education.
- Experience coordinating office workflow, student employees, budgets, events, reports, communications, or process improvements across more than one program or unit.
- Experience compiling information, data, budget details, and draft materials to support annual reports, end-of-year reports, grant proposals, or grant renewals.
Time Base: Full-time
Pay Plan: 11/12 (July off)
Work Schedule: Mon-Fri 8:00am-5:00pm, Summer: Mon-Thurs 7:00am-5:30pm
CSU Classification Salary Range: $48,036 (Step 1) - $69,984 (Step 20) per year.
