About the role
MEPPI's Service Center of Excellence Division (SCD) is looking for a Project and Division Assistant to provide project, safety program, training, and administrative support to the division. In addition the successful candidate will prepare project status reports and graphs to keep management, customers, vendors updated
Project Support
- Prepare project status reports and graphs and keep management, customers, vendors and others information of project status and related issues. Facilitate customer and vendor calls to review and update action items.
- Prepare and issue purchase orders, review purchase orders for accuracy, maintain purchase orders in business system, and maintain log of purchase orders. Track order status and expedite deliveries.
- Perform document control functions related to the transmission of drawing and technical documents.
Administrative Support
- Prepare, organize, and disseminate reports utilizing MEPPI’s business and document systems in accordance with SCD formatting and consistency standards.
- Support the Division safety program through data collection, report generation, and the purchasing and distribution of personal protection equipment.
- Monitor, track, and analyze training, process, and policy compliance. Report on variances and concerns.
- Support the integration and training of new employees into SCD.
- Prepare presentation materials for client presentations, business planning meetings, and senior staff. Prepare and distribute division communications in collaboration with Division management.
- Coordinate travel arrangements for the SCD management team as requested. Maintain and update travel calendar. Prepare and submit expense reports.
- Develop, plan, and maintain mid-term and long-term meeting schedules for Division management including all-employee, customer and subcontractor meetings. Organize special events and social functions for the Division.
QUALIFICATIONS
- Associate’s degree with a minimum of 5 years of administrative or clerical experience, or equivalent education or experience.
- Ability to work independently, with limited guidance, and on several assignments simultaneously.
- Ability to handle confidential information.
- Intermediate analytical and problem-solving skills.
- Advanced interpersonal and communication skills required to communicate with executives, employees, vendors, and customers.
- Advanced computer skills with emphasis on MS Office products, ERP systems, and business planning software. including the use of PowerPoint.
