Events Consultant - Cancer Center (Project Position for 6 months)

About the role

Summary 

Work independently with direction from the Managing Director, be responsible for 1) increasing ridership from Wisconsin communities, and 2) planning and executing the Medical College of Wisconsin (MCW) Cancer Center bike ride fundraiser, Audaxity.

Primary Responsibilities

  • Identify and register new riders from WI communities
  • Identify and register new team captains from WI communities
  • Collaborate with the Managing Director and Team Building Director to plan, execute, and consult for the Audaxity event, including associated ancillary events, including outreach events, captains’ meetings, fundraising events, team rallies, and training rides.
  • Oversees outreach efforts and rider recruitment. Develop outreach plans that include collaboration with the MCW Office of Communications and Brand Strategy and the MCW Cancer Center Communications team to build event collateral such as printed materials, video storytelling, and promotional materials.
  • Serve as an ambassador for the event in the community. Provide resources to riders and volunteers with key event information.
  • Collaborate and integrate with MCW departments to strategically align events to fundraising goals, MCW’s brand strategy goals, and the MCW philanthropy goals.
  • Actively participate in committees and lead informational meetings, including preparing materials and agendas, facilitating meetings, following up on action items and completing and distributing minutes.
  • Form and maintain partnerships with outside vendors, and collaborate with the Managing Director to negotiate contracts in alignment with MCW policies and brand guidelines.
  • Share new ideas, expectations, operational challenges, and information with senior and executive leaders.
  • Responsible for handling and processing currency for registration and/or donations for fundraising events.
  • Other work-related duties as assigned.

  • Demonstrated experience in all Microsoft programs, including Word, Excel, PowerPoint and Outlook
  • Must be able to work weekends or evening hours
  • Plan and organize work according to established priorities and complete assignments accurately within established timeframes
  • Demonstrates cooperation, courtesy and consideration when working effectively with varied people (many different individuals and departments)
  • Ability to work independently and as part of a team
  • Ability to effectively plan and organize projects impacting the work of others

Qualifications

Appropriate experience may be substituted for education on an equivalent basis.

Minimum Required Education:        Bachelor’s degree

Minimum Required Experience:       5 years of experience       

Preferred Education:                 Communications, Hospitality, Marketing

Preferred Experience:                 Event planning in an academic environment

Physical Requirements

Work requires occasionally lifting moderate weight materials, standing, or walking continuously.

Work Environment

Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.

Sensory Acuity

Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
