The Senior Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. Directly supporting the facility management team with on-going facility and team related responsibilities.Job Description
Responsibilities
- Oversee cleaning, landscaping, and security services
- Vendor Management: Assist in sourcing and supervising external contractors and service providers
- Review work performed by vendors to ensure quality and adherence to contractual agreements
- Administrative Support: Provide administrative support by maintaining facility records, compliance documents, and service contracts
- Support the facilities team with clerical duties, including scheduling, procurement, and budget tracking
- Safety and Compliance: Ensure that all facilities operations comply with health and safety standards and legal requirements
- Participate in the development and implementation of emergency plans and occupational safety procedures
- Space Management: Assist with office space allocation and layout planning to maximize efficiency
- Coordinate internal moves and support changes to office configurations
- Support Services Coordination: Liaise between staff and external providers for support services such as catering, cleaning, parking, and security
- Inventory Control: Manage supplies inventory and place orders for facilities-related items, ensuring critical stock levels are maintained
- Required Knowledge, Skills, and Abilities: Proven organizational and coordination abilities
- Excellent communication and interpersonal skills
- Working knowledge of electrical and mechanical systems
- Ability to multitask and prioritize work orders
- Familiarity with procurement and budgeting
- Proficient in Microsoft Office and facility management software
- Education and Experience: A high school diploma is required
- An associate's degree or higher in business management, facilities management, or a relevant field is preferred
- Prior experience in facilities coordination or a related role is advantageous
