The Commercial Account Coordinator ensures fast, collaborative service to commercial clients, supporting growth and retention. Reporting to the Assistant General Manager, this role involves managing relationships, coordinating sale day activities, and maintaining vehicle and pricing files. This position is 90% outside, working with vehicles of all types. Key tasks include monitoring accounts for compliance, creation of vehicle repair estimates, discussing the value of repairs with clients, and performing quality assurance on vehicles. The Commercial Account Coordinator ensures all necessary documents are ready for auctions, manages inventory reports, and resolves issues to ensure smooth operations. The Commercial Account Coordinator will conduct inventory walks with commercial clients, being prepared to provide in depth vehicle and repair information. Additionally, they provide administrative support, assist with special projects, and handle post-sale duties, contributing to the overall success of auction operations.


Schedule: Monday-Friday, 8:00am-4:30pm PST at our Logistics Center in beautiful Corona, CA


What You Will Do:

  • Develop and manage relationships with internal and external business partners, providing prompt and professional service.
  • Coordinate and execute sale day activities, ensuring all vehicle work orders are handled timely.
  • Input, verify, and maintain vital vehicle and pricing information in the database.
  • Ensure all necessary documents are in hand before auctions, working closely with account managers and title department.
  • Manage vehicle inventory reports, investigate errors, and verify sale eligibility.
  • Prepare and notify internal stakeholders of the sale run process and updates prior to sale day.
  • Guide and follow-up on sale vehicle preparation, quality assurance, and resolve any issues to ensure smooth auction operations.
  • Communicate with the accounting team for balancing sales and performing post-sale invoicing.
  • Build and input vehicle repair estimates based on thorough inspections and cost assessments, ensuring accurate and competitive pricing for customers.
  • Work closely with clients to identify and secure reconditioning opportunities that maximize their vehicle value and improve auction outcomes.
  • Perform pre-sale quality assurance on vehicles, conducting detailed checks to confirm all necessary repairs are completed and vehicles meet sale standards.
  • Support on-site client inventory reviews by delivering thorough assessments of vehicle conditions, estimated completion times, and tailored repair recommendations, ensuring clients receive exceptional service and valuable insights.
  • Assist in following up with Condition Report Writers to ensure Condition Reports are timely and accurately updated immediately after repairs are completed, charges are posted, and work orders are closed.
  • Monitor compliance with sale plan layouts, customer contracts, and supplier agreements, advising on corrective procedures if needed.
  • Recommend services and procedures for vehicle repairs to the Inside Account Coordinator and client account.
  • Meet and exceed client service level agreements and deadlines through team and client collaboration.

What You Will Need:

  • Minimum of a High School Diploma or equivalent; college degree preferred.
  • 5+ years’ experience in automotive with managerial experience preferred.
  • 5+ years with physical auction experience required.
  • Languages: English (required), Spanish (an asset)
