About the Role
As a Sales Administrator, you’ll be a key part of the sales team’s success—providing essential administrative support to Design Consultants and sales staff throughout the entire sales process. You’ll help keep everything organized and on track by maintaining accurate records, managing documentation, and ensuring information is up to date in our systems and files. General Summary of Position
The Sales Administrator is responsible for providing administrative support to the Design Consultants and sales staff throughout all aspects of the sales process. This includes maintaining accurate records in the database and in files (hard copy and electronic).
Essential Functions and Responsibilities
- Process and manage sales job documentation, including sales forms, work orders, tracking sheets, logs, customer service phase letters, and permit-related documentation to ensure accurate and timely recordkeeping.
- Maintain and manage CRM data by entering sales information, updating customer records, generating reports, and ensuring data integrity across all systems.
- Provide comprehensive administrative support, including answering and returning phone calls, managing voicemail and email correspondence, handling mail distribution, faxing, and ordering office supplies and sales literature.
- Maintain organized and accurate customer and permit files to support operational efficiency and compliance requirements.
- Deliver responsive and professional customer service by interacting courteously with customers, contractors, and internal team members.
- Coordinate workflow to keep sales and projects on schedule, including partnering with Design Consultants, scheduling Meet & Greets, and managing calendar coordination.

QUALIFICATIONS – Knowledge, Skills & Abilities
Education
High School diploma/GED or equivalent required.
Licenses/Certifications
Years of Experience
1-3 years of experience in an administrative role or related experience in similar department/function in a high-paced/high volume environment.
Required Skills & Abilities
Excellent organizational skills, customer service orientation, and strong attention to detail.
Excellent communication skills.
Strong proficiency in Microsoft Word, Excel, & Outlook
Problem solving abilities.

Proven ability to multitask with minimal supervision.
Works independently.

- Ability to lift and carry up to 30 pounds; at times greater than 30 pounds
