About the role

We are seeking a highly organized and detail-oriented Medical Department Coordinator to join our dynamic and complex clinical setting. The successful candidate will provide administrative support to our Medical Team, ensure compliance with HIPAA policies, and maintain accurate and up-to-date records. This is an excellent opportunity for an individual with strong analytical, problem-solving, and communication skills to join our team.

Responsibilities:

  • Serve as initial point of contact for all staff and guests in person, by email, and by phone

  • Coordinate scheduling and physical setup for group and individual clinic appointments

  • Work at direction of Clinical Nurses to ensure patients have a safe, positive clinical experience

  • Organize and prepares for clinical services including immunization clinics, patient education materials, and nurse consults

  • Maintain privacy and accuracy of patient communication, clinical files, medical data, and immunization logs as required by IMB policy, federal and state laws, and international health protocols

  • Create, upload and edit working lists, documents and other files to/from EHR, shared files, and other departments using shared databases

  • Monitor and ensure cold chain of vaccine and assist with maintenance of cold chain protocols

  • Maintain vaccine inventory and ensure supplies needed by clinical staff are stocked and ready for use

  • Provide administrative support for the Medical Team, including scheduling, data entry, and record-keeping

  • Responsible for planning, ordering, and maintaining inventory of all supplies and equipment for each clinic

Requirements:

  • Associate’s degree in a health-related field, preferred

  • American Heart Association CPR and First Aid certification, preferred

  • 1-3 years of experience in an administrative field, preferably in a healthcare setting

  • Proficient in Microsoft Office Suite 

  • Ability to learn customized electronic patient record and appointment scheduling software

  • Strong analytical, problem-solving, and communication skills

  • Ability to work independently and as part of a team

  • Attention to detail and ability to maintain accurate and up-to-date records

  • Ability to manage multiple tasks, adapt to interruptions, and shift priorities
