Job Description

The Administrative Assistant supports the Macro Products Group leaders across constantly evolving initiatives. As executives may have varying needs, the expectations for an office manager can vary. Responsibilities may include the following activities:

  • Update, review, and maintain the inventory of Macro Policies and Procedures. Identify areas to consolidate, remove, or change a procedure to identify time and efficiency savings.

  • Review and maintain Regulatory required official storage locations that must be accessible within a compressed timeline and contain all required Regulatory information and approvals.

  • Continuously analyze and challenge vendor invoices to manage expenses.

  • Organize new hire onboarding including Regulatory required training and FINRA registrations.

  • Maintain IT infrastructure and assist with office planning and enhancements.

  • Plan and deliver client engagement activities both internal and at outside locations including corporate travel.

  • Prepare Macro group communications including memos, emails, calendar updates, and other correspondence.

  • Provide general office support and assistance to the Macro team.

Basic Qualifications

  • High school diploma or equivalent

  • Typically five or more years of experience in administrative and support staff activities

Preferred Skills/Experience

Office managers display varied skills and qualifications. They operate as a key support for management. The skills that an office manager should possess include, but are not limited to:

  • Decision-making: The role requires teammates to make independent decisions on a daily basis, addressing the best way to handle specific activities.

  • Communications and collaboration: This role must collaborate with other managers, controls partners, business leaders, support personnel, and clients on a regular basis.

  • Organizational skills: The ability to maintain order helps ensure the office manager remains focused on the list of priorities and allocates the required amount of time and energy for success. Meeting deadlines is a key requirement.

  • Escalation:  At times, it will be required to get the attention of management no matter the situation. Understanding the circumstances and people that generate the need for escalation will be critical.

  • Writing: All communication including emails, letters, and presentations reflect upon their employers, a role requirement includes the ability to write professionally, using proper spelling and grammar.

  • Analytics: Office managers must have exceptional attention to detail, proven problem-solving aptitude, and the ability to meet deadlines.

  • Fostering trust and confidence in your abilities are key components for success within this role.
