Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.
Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seek a Senior Specialist, Facilities Operations in our New York office who will report to the Associate Director, Facilities Operations. The Facilities Operations Department manages the National Office’s real estate portfolios and ensures all office spaces are properly maintained and operational to best support our diverse, hybrid workplace culture.
Purpose: The Senior Specialist, Facilities Operations will assist the Associate Director, Facilities Operations with the office maintenance, servicing, and operations. The role requires an agile individual that can manage multiple physical tasks, with an attention to detail, and has the ability to think ahead to evaluate processes, increase efficiencies, and maximize the impact of our collective work.
They will:●Work directly with the Associate Director, Facilities Operations to provide a safe and healthy workplace for staff and visitors in accordance with OSHA standards.●Manage preventative maintenance, painting and plastering. basic electrical and plumbing repairs, and oversee cleaning, waste management, and maintenance of machinery, HVAC, elevators, plumbing and electrical systems.●Lifting and moving tables and chairs to set-up conference rooms style arrangements per staff request.●Manage any moves and changes to space configuration and utilization, to include, but not limited to setting up conference rooms.●Monitor standards and procedures.●Provide day-to-day support to ensure the successful implementation of projects, policies, procedures, maintenance activities, and workplace services to properly manage the physical works spaces in our offices.
Delivery: This role will support work to sustain and improve the quality of operational support through adaptation to changing demands and client feedback. This will include, but is not limited to the ability to:●Develop quality management and program improvement initiatives to improve Facilities Operations services levels.●Develop and manage the approach for the full life cycle of projects, and maintain project management methodologies, standards and tools; ensure deadlines and desired impacts are met; identify and mitigate risks, escalating appropriately.●Optimize, evolve, and administer a preventative maintenance program to ensure operational efficiencies are in place.●Conduct ergonomic assessments, vendor record management, and related processes or protocols, as well as collaborate with National Office Security to manage emergency evacuations.●Other duties, special projects, and initiatives, as assigned.
Engagement:●Advise managers and team members on new workspace approaches and their requirements to sustain service quality and delivery within the context of the wider Operations program.●Make stakeholders aware of opportunities or challenges emerging in facility operations;●Manage and oversee work with external partners and vendors, including the initiation and execution of any related contracts. This includes, but is not limited to engagement with building management, property management, engineers, general contractors, HVAC (heating, ventilation, air conditioning), electricians, and other service providers.
Knowledge, Skills and Abilities (KSAs):●High school diploma required●5 years of facilities-related work experience required●2 years of project management experience preferred●Sound understanding and experience in life safety practices, facilities operations, and facility management.●Ability to collaborate and communicate clearly with cross functional teams and internal or external stakeholders.●Knowledge of standards and statutes of regulatory agencies incl
