Surgical Services Coordinator / Veterinary Assistant


Veterinary Emergency & Specialty Hospital (VESH), a state-of-the-art, 24-hour VECCS Level 2 Certified facility located in vibrant West Springfield, MA, is seeking a dedicated and detail-oriented Surgical Services Coordinator / Veterinary Assistant to join our collaborative Surgery team.

Compensation:

  • $22 - $27 based knowledge & experience
Anticipated Schedule:
  • Four 10-hour shifts between Monday-Friday
  • NO WEEKENDS!
About the Role:
This hybrid position offers a unique opportunity to support our surgical team both administratively and clinically, ensuring our patients and clients receive the highest level of care and service.

Key Responsibilities Include:
Administrative Coordination:
  • Schedule surgery consultations and procedures with attention to detail and surgeon availability.
  • Serve as a liaison between clients, referring veterinarians (RDVMs), and the VESH Surgery team.
  • Manage all surgery-related communications: emails, follow-ups, post-op updates, discharge scheduling, and virtual incision checks.
  • Ensure referral documents, medical history, test results, and medications are received and organized before appointments.
  • Prepare cost estimates, admission paperwork, and specialty confirmation calls.
  • Monitor and maintain accurate surgery schedules and documentation in EzyVet.
  • Address prescription refill requests, client callbacks, and send sympathy cards when needed.
Clinical Support:
  • Assist with surgical patient exams, history-taking, vitals, diagnostics, and client education.
  • Support the surgical team with blood draws, IV catheter placements, patient prep, and instrument sterilization.
  • Maintain cleanliness and readiness of the surgery suite and exam rooms.
  • Manage surgery inventory and ensure necessary supplies are always stocked.
  • Communicate clearly and compassionately with clients during discharges and post-op care instructions.
  • Enter accurate records and charges into the hospital’s software system and prepare take-home medications.
