Specialist Provider Onboarding
The Provider Onboarding Specialist plays a pivotal role in enhancing the provider new-hire experience by managing a comprehensive onboarding process. This role involves a higher level of responsibility, including process optimization, stakeholder management, and compliance oversight. Additionally, the Provider Onboarding Specialist supports strategic improvements status changes and off-boarding policies and procedures.
Essential Job Duties
- Oversees and enhances provider pre-hire and onboarding checklists, ensuring timely completion and process efficiency.
- Serves as the primary liaison for leadership, practice managers, and new providers, delivering updates and resolving complex onboarding issues.
- Develops and implements process improvements to streamline onboarding, status changes and offboarding workflows.
- Coordinates and collaborates with various stakeholders; including but not limited to NYPMG Physician Services, NYPH Administration, Human Resources, Physician Recruitment, University Departments, Marketing, Medical Staff Office, Payer Enrollment, Business Development and leaders to facilitate a comprehensive, seamless onboarding process for all new providers.
- Proactively identify potential delays in the onboarding process and take corrective action to avoid disruptions. Escalates and resolves high-priority issues and works cross-functionally with all stakeholders to ensure seamless onboarding. Conducts onboarding training sessions for internal stakeholders to improve onboarding compliance and efficiency.
- Ensures adherence to state, federal, and organizational policies regarding provider credentialing, enrollment, and onboarding. Coordinates provider off-boarding activities including notifications and system deactivations to align with Corporate Compliance requirements.
- Manages confidential provider and practice-related information with the highest level of discretion.
- Leads onboarding projects and initiatives aimed at enhancing provider experience and reducing time-to productivity.
- Assists in the creation and refinement of onboarding, offboarding and status changes practices including process and policy development to ensure alignment with organizational goals and regulatory standards.
- Tracks key onboarding metrics (e.g., time-to-productivity, credentialing timelines, provider satisfaction) and generate reports for leadership to identify trends and areas for improvement.
- Trains and mentors onboarding coordinators, ensuring understanding of best practices and compliance requirements. Performs other special projects and duties as assigned.
Required Qualifications
- Bachelor’s degree or equivalent work experience
- Advanced training or certification in healthcare administration or project management
- 5+ years of healthcare experience, preferably in a physician practice or credentialing setting
- Proven experience in project management and process optimization
- Strong customer service, organizational, interpersonal and communication skills
- Experience working cross-functionally with senior leadership and multiple departments
- Ability to manage high-priority tasks in a fast-paced environment
