Join Our Team as the Scheduling Administrative Assistant!In this dynamic position, you’ll be the hub of our staffing operations—coordinating schedules for skilled nursing team members to ensure seamless coverage and high-quality care for our residents. You’ll collaborate closely with nursing leadership and external staffing partners to create efficient, compliant schedules that balance resident needs, regulatory standards, and budget goals.
Beyond scheduling, you’ll provide key administrative support to the Nursing Home Administrator, helping drive daily operations and contributing to a positive, well-organized workplace.If you thrive in a fast-paced environment, enjoy problem-solving, and want to make a real impact in senior living, this is your chance to be an essential part of a compassionate care team.
Schedule: Full-time, 40 hours per week | Monday – Friday, 8am-5pm Department: Porter Hills Village | Skilled Nursing
Key Responsibilities
- Maintain the schedule for skilled nursing team members.
- Coordinate shift assignments, rotations, and time-off requests to ensure appropriate staffing levels.
- Assists with emergency scheduling needs.
- Maintain schedule in web-based Human Resource Information System.
- Communicate schedule changes, updates, and staffing shortages to relevant team members in a timely manner.
- Collaborate with team members and Payroll to ensure accurate and timely processing of timecards.
- Maintain accurate records of staffing schedules, attendance, and timecards for payroll and reporting purposes.
- Support team members during their onboarding and orientation.
- Accurately monitor and record attendance for team members.
- Assist in tracking HRPD.
- Attend QAPI meetings and ensure meetings discussions are documented clearly and accurately.
Skills, Knowledge & Expertise
- One year administrative support experience, preferred.
- College and/or administrative training, preferred.
- Skilled Nursing Scheduling experience, preferred.
- Must be 18 years of age or older
