Position Summary:The Administrative Assistant provides support to the Investment Team and Executive Chairman, managing calendars, travel, communications, expenses, and special projects. This role requires strong organizational skills, discretion, and the ability to anticipate needs while supporting executive operations and office management in a fast-paced, professional environment.
Key Responsibilities:
Provide comprehensive administrative support to the investment team and Executive Chairman, including managing calendars, scheduling meetings, and coordinating travel arrangements
Handle communication, including phone calls, emails and correspondence, ensuring timely responses and follow-ups
Assist in preparing reports, presentations, and documentation using Microsoft Office Suite
Organize and maintain files, process invoices, and manage expense reports
Support event planning and logistics for company meetings and functions
Serve as the primary point of contact for the investment team, managing their schedules, coordinating end-to-end travel arrangements, emails, and other correspondence, ensuring efficient time management and logistics planning
Manage special projects and initiatives, in timely completion and delivering high-quality results.
Anticipate and prepare for any future logistical or administrative needs to avoid calendar conflicts, operational challenges or emergencies, developing and implementing contingency plans
Administrative management of expense reporting, coordination of signature requests and notarizations for investment team and Executive Chairman’s office.
Assist with office management of the New York office: maintaining equipment, obtaining supplies, coordinating with CGIC IT in Austin to address computer service needs to ensure smooth and functional operations.
Coordinate with other departments and teams to facilitate cross-functional collaboration and achieve company goals.
Maintain confidentiality of sensitive information and exercise discretion in handling confidential matters.
QualificationsQualifications:
Bachelor’s degree, or the equivalent years of education and experience required
1+ year of prior experience in a similar role, or capacity, required, with demonstrated success managing multiple priorities in a fast-paced environment
Strong sense of accountability, with the ability to multitask and prioritize responsibilities while proactively communicating task status, potential roadblocks, and urgent items or requests timely and effectively
Excellent organizational and communication skills, with exceptional attention to detail
Proficiency in Microsoft Office applications
Experience supporting senior executives in a corporate environment is preferred
