What you’ll do: You’ll be responsible for performing specialized clerical functions in the maintenance of resident medical records in compliance with MTC Medical and Texas Civil Commitment Office (TCCO) directives.
Essential Functions:
- Ensure medical records are accurate and securely stored.
- Act as medical records liaison with health services, security and administration.
- Responsible for ensuring all QI activity related to medical records is accurate and timely
- Maintain records of services and prepare billing documents submitted to appropriate agencies for facility reimbursement of health care costs.
- Maintain absolute security and confidentiality of all medical records; observe applicable HIPAA rules.
- Supervise and ensure daily audits of medical records occur to ensure accuracy and quality of documentation, and review results for any pattern of deficiencies. Communicate these findings to healthcare staff and at QI meetings.
- Ensure requests for medical information from outside hospitals, clinics, physicians are processed. Secure pertinent medical information from other sources relative to the treatment of patients.
- Ensure the required information from each client visit with a healthcare professional is entered into the appropriate data system and review reporting on weekly basis.
- Assist providers by scheduling clients for treatment and coordinates appointments with outside providers and with security staff.
- Assist nursing staff in preparing requests for dietary changes, labs, treatments or appointments as appropriate.
- Assures adequate supplies and forms are available for staff at all times. Put away supplies upon delivery. Organizes and maintains inventory.
- Attends all staff meetings and takes notes as requested.
- Promote the development of positive social skills through modeling appropriate behaviors and intervening when inappropriate behaviors are observed; provide regular feedback to staff regarding social skills procedures and intervention techniques.
- Maintain accountability of staff, clients and property; adhere to safety practices.
It is expected that the incumbent shall perform other duties as assigned within his/her scope of work as determined by management.
Education and Experience Requirements:
High school diploma or equivalent and four (4) years office experience including word processing or computer data entry experience. Additional education may substitute for experience on a year-for-year basis. Medical records experience preferred. Must be proficient with computer usage including word processing, spreadsheets, and data entry. Valid driver's license in the state of Texas with an acceptable driving record required, unless waived by management.
