Job Summary
Under general supervision, provides administrative and operational support to department executive leadership in the areas of Elections, Boards and Commissions, Board of Adjustments, Records Management, and/or Dallas Municipal Archives.
Job Description
ESSENTIAL FUNCTIONS:
- Provides and coordinates application guidelines, board and commission requirements, and descriptions to all incoming Board Members, who are nominated; processes applications, answers questions, supports background checks, and ensures effective communication.
- Collaborates, communicates, and works with department directors to discuss and create agendas for committee meetings and facilitate timely posting; posts all Agenda, Committee meeting agendas to ensure critical staff has access to all the material for review.
- Provides clerical and organizational assistance to the department leadership by assisting with composing letters, memos and handling other projects as needed; organizes and schedules calendars, travel arrangements, meetings, and extensive communication objectives to ensure participation and coordination.
- Assists with meeting coordination and preparation; researches, identifies, and provides supporting data and metrics when requested in a timely manner and compiles information in a clear, concise, and professional way.
- Acts as a liaison between department leadership, Boards, constituents, and other dignitaries; serves as a mediator and link between organizations, departments, and citizens to ensure clear and open lines of communication.
- Briefs, communicates, and clarifies all media issues relating to the district to ensure the committee members are aware of all matters pertaining to the council briefing, general agenda, and committee meetings.
- Develops and monitors the budget; monitors expenses and activities to ensure that the operations are within State and City guidelines; submits budget expense reports to the department leadership on a regular basis and maintains a current Expense Spreadsheet for monitoring the expenses.
- Performs any and all other trades work as needed or assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
1) Knowledge of public administration and governmental environment
2) Knowledge of general budgeting and executive assisting.
3) Ability to coordinate council members schedules, travel arrangements, and agendas.
4) Ability to plan, organize and coordinate resources
5) Ability to conduct research, analyze data, and compile reports
6) Ability to lead and coordinate clerical and office operations
7) Communicating effectively both verbally and in writing.
8) Establishing and maintaining effective working relationships.
MINIMUM QUALIFICATIONS:
EDUCATION
- High school diploma or GED equivalent.
EXPERIENCE
- Five (5) years of customer service/general office experience with responsibility for agenda coordination, calendar maintenance, committee/board minutes and records management
EQUIVALENCIES
- Associate degree (or higher) in any field plus three (3) years of the required experience will meet the education and experience requirements.
- Bachelor's degree or higher in a non-specified field plus six (6) years of the required experience will meet the education and experience requirements.
- Bachelor's degree in a Business/Public Administration field plus four (4) years of the required experience will meet the education and experience requirements.
- Master's degree or higher in a Business/Public Administration field plus two (2) years of the required experience will meet the education and experience requirements.
LICENSES AND CERTIFICATIONS
- Ethics, Texas Open Meetings Act (TOMA) and Records Retention certification (may be obtained within probationary period).
