Description
The Corporate Office Receptionist plays a vital role in creating a positive first impression for all who enter our Corporate Headquarters. This position requires a highly organized, guest-oriented individual with excellent communication and interpersonal skills. The Receptionist will be responsible for a variety of duties, including greeting guests, managing incoming and outgoing mail, maintaining a welcoming and well-stocked reception area, and providing administrative support.
Responsibilities
- Guest Relations:
- Greet all guests warmly and professionally, ensuring a positive and welcoming experience whether it is the delivery person or the CEO.
- Connect guests to the appropriate departments or individuals.
- Answer general inquiries and provide basic information about the building and company.
- Always maintain a friendly and accommodating demeanor, helping those who occupy the lobby to the best of your ability.
- Administrative Support:
- Manage mail, packages, and building office supplies for all departments upon request.
- Coordinate with cleaning staff, order weekly supplies and address cleaning issues that are reported.
- Accurately manage Reception company credit card transactions and receipts for monthly reporting.
- Manage the building coffee machine including ordering and stocking supplies, servicing the machine daily, and reporting issues to the vendor.
- Reception Area Maintenance:
- Maintain lobby aesthetics with fresh flowers and fruit weekly.
- Order snacks and drinks to keep the lobby always stocked and ready.
- Other duties as assigned.
Qualifications
- Demonstrates a high “HQ” (Hospitality Quotient) consisting of kindness & optimism, intellectual curiosity, work ethic, empathy, self-awareness, and integrity.
- Education: High School Diploma or equivalent required.
- Experience: Prior experience in a customer service or reception role preferred.
- Excellent communication and interpersonal skills (verbal and written).
- Strong ability to multi-task and prioritize work.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Able to work independently as well as collaborate with coworkers.
- Strong problem-solving and decision-making skills.
- Ability to maintain a professional and confidential demeanor.
- Able to remain calm and patient in stressful situations.
- Proactive in identifying and addressing potential issues.
Physical Requirements:
- Ability to sit for extended periods.
- Ability to stand and walk frequently.
- Ability to reach, bend, and stoop.
- Ability to lift and carry up to 25 pounds.
