Applications School Office Trainer
Purpose Statement
The job of the Applications School Office Trainer is to ensure that school office staff and their systems operate efficiently and to provide customer support to our parents and students of GPS. The position would support site administration in evaluating office staff processes, create new or improved business processes, and provide application training. This would include the student information and employee information systems and other office staff responsibilities as necessary. While this position resides within Technology Services, it will work collaboratively across the district, including with Curriculum and Instruction, Administrative Services, OTM administration, and other departments and schools.
Essential Functions
- Design training materials for new office staff, including customer service and day-to-day task responsibilities.
- Partner with cross-functional departments and site administration to evaluate operational workflows, establishing new or improved standard business processes across the organization.
- Assist sites with online enrollment and training needs, including the daily responsibilities and normal work day flow.
- Analyze training needs based on user groups and levels of user experience.
- Schedule and carry out training sessions for both individuals and groups, including working with new office staff individually.
- Design training materials, including instructional videos and written "how-to" documentation hosted on our internal site.
- Act as the primary liaison between departments to capture standard operating procedures and translate them into clear, accessible knowledge-base articles.
- Organize training courses to meet the needs of different groups of employees based on their job functions.
- Set up training labs, ensuring that computers are configured correctly to access the necessary software modules and documentation to facilitate a training session.
- Evaluate the effectiveness of the training material and adjust as needed to ensure understanding on the part of the trainees.
- Collaborate with departmental stakeholders to assist in regularly auditing and maintaining the internal site, ensuring all documentation remains up to date with software changes and aligned with current business practices.
- Maintain training records so that individual employees' progress can be tracked.
- Keep up to date with relevant systems, software, and online training technology to optimize the delivery of digital "how-to" resources.

- Assists department leadership and other personnel as needed for the purpose of supporting departmental operations and organizational effectiveness.
