The department is comprised of 10 organizations and supported directly by the Wealth Management Technology Division where this position will reside.
Position Overview
The Executive Assistant is an integral part of the WMT Core Platform Services leadership team. The role of the Executive Assistant is to provide dedicated support to the Head of WMT CPS Technology Operations Team and will provide support to the Alpharetta CPS leadership team as well. Key Responsibilities
* Executive Support: Manage complex calendars, schedule meetings (in-person and virtual), manage executives inbox, arrange travel, and coordinate logistics for senior technology and wealth management leaders.
* Communication Liaison: Serve as a primary point of contact between executives, internal teams, clients, and external partners, ensuring clear and timely communication on identified and aligned topics with role.
* Initiative Status Tracking: Assist in tracking and reporting on status of key area service metrics, status on key area objective progression, and rollup reporting on area projects and initiatives.
* Information Management: Prepare, review, and organize reports, presentations, and data analysis for meetings and executive decision-making. Maintain document repositories and ensure confidentiality of sensitive information.
* Meeting Preparation: Develop detailed agendas, compile supporting materials, take meeting minutes, and follow up on action items.
* Resource Management: Assist where needed with onboarding new employees and managing area rosters and related logistics.
* Expense and Budget Management: Process and reconcile expense reports, track technology budgets, and assist with procurement of software or hardware.
* Event Coordination: Plan area events and activities for the department and assist with larger local geography based events.
* Risk and Compliance Support: Assist in maintaining compliance documentation for area services and reporting outward as required.
Typical Duties and Daily Activities
* Managing and prioritizing incoming emails and requests for executives.
* Coordinating schedules to maximize executive productivity.
* Researching industry trends and preparing briefing materials for meetings.
* Organizing board and committee meetings, preparing agendas, and distributing materials.
* Assisting in onboarding new team members with access to technical platforms and resources.
* Preparing, editing, and formatting complex documents and presentations.
* Monitoring and processing invoices and vendor contracts related to technology services.
* Ensuring executive compliance with firm-wide cybersecurity protocols, such as two-factor authentication and data encryption.
* Responding efficiently to shifting priorities, urgent requests, and unforeseen challenges. Required Skills and Qualifications
* Education: Bachelor's degree or Associated degree
* Experience: Minimum of 3-5 years in an executive assistant or office management role, ideally within the financial services or technology sector.
* Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), familiarity with corporate productivity tools, and experience using virtual collaboration tools (e.g. Zoom, Teams, Slack).
* Financial Acumen: Understanding of wealth management principles, investment products, and industry regulations.
* Organizational Skills: Exceptional ability to multitask, prioritize, and manage time in a fast-paced environment.
* Analytical Mindset: Strong attention to detail, problem-solving skills, and the ability to synthesize complex data for executive reporting.
* Communication: Excellent verbal and written communication skills, with a professional and approachable demeanor.
