JOB SUMMARY
The Assistant Program Manager provides consistent stability and safety to the program through direct service to the clients. This individual will work the overnight shift and is responsible for the overall operation and supervision of staff during that shift time. This includes assistance with written and oral communications and while maintaining confidentiality.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Program/Administrative Duties
- Assist the Program Director with human resources management for all employees on their shift, including the processing of employment and termination paperwork, maintenance of personnel files and the administration of personnel policies ensuring that they are maintained in accordance with established guidelines.
- Conduct training of staff as needed.
- Assist the Program Director with maintaining a safe staffing level.
- Facilitate initial placement of guest(s) to the Emergency Homeless and Referral Center to include, but not limited to, conducting orientation and facilitating access to assigned room on the shift that they are assigned. Work with case-managers to expedite placement of clients at designated shelters. Ensure that shift monitors contact shelters to obtain information on bed availability.
- Notify Program Director and the Case-managers in writing of any special mental health, and/or dietary accommodations of guests they may disclose.
- Prepare unusual incident report and/or program violation reports as needed and/or warranted. Distribute to designated personnel. Inform Program Director and the shift staff of program violations that threaten the life, health, safety intervention (to include emergency services personnel). Contact 911 as needed to immediately address a crisis situation.
- Notify janitorial staff and/or shift staff of impending new placements and guest departures. Provide oversight of guests’ belongings stored on site for two (2) days. Notify Program Director and other shift staff if guest has not retrieved belongings after five days. When necessary clean and prepare newly vacated room for possible new placements.
- Perform daily facility checks (“rounds”) lock up designated areas as directed.
- Maintain confidentiality of guest information (verbal/written).
- Perform data entry and/or report writing of daily and/or monthly demographics and program statics.
- Assist the Program Director in contacting referral shelters to maintain real time shelter bed availability.
- Assist the Program Director in preparing monthly, quarterly and annual report submission.
- Work closely with the Program Director on Data Quality through accurate HMIS entries and corrections.
- Work closely with the Program Director to build community relations throughout the shelter system with other service providers.
- Works with program staff to assure relocation or placement of clients enrolled in the Emergency Homeless Assessment and Response Center in appropriate/affordable alternative housing within ten to twelve days of enrollment.
