Job Summary

 

The Senior Planning Manager will provide direct support to the Meeting & Events Planning Managers, ensuring the seamless planning and coordination of meetings, conferences and other events.  The individual will support the Director of Conference Services with new initiatives, processes and procedures, providing feedback and assisting with successful implementation. 

 

This is a hybrid role - Typically 3 days a week (Tue-Thur) in office, and 2 days from home. Weekends and evenings are rare.

 

 

Key Responsibilities::

  • Meet or exceed the objective of Clients’ goals of associate experience 
  • Embraces leadership and be a catalyst for change and innovation. 
  • Communicate clearly with all staff and keep them informed of matters which pertain to their jobs; host weekly direct report team meetings to review upcoming business.  Host monthly departmental meetings with meeting agenda to provide an opportunity for all staff to collect, share lessons learned, receive company and HR updates and other areas of interest
  • Be accountable for the performance of his/her teams
  • Prepares monthly metrics, reporting and other data as requested by the client
  • Control expenses monthly to coincide with budgeted payroll and operational budgets
  • Assist Planning Managers in utilizing the reservation system and focusing on the strategic assignment of meeting space so as to maximize utilization
  • Coordinate a wide range of services for meetings which have been booked, including Audio Visual requirements, food and beverage requests, conference room set-ups, signage, distribution of materials, etc.
  • Confer with clients before, during and after their events, maintaining a positive relationship and responding to inquiries and requests in a timely manner
  • Communicate to all relevant internal departments and subcontractors the specific needs of the client, both in advance of and during the course of meetings
  • Check meeting rooms to ensure they are set-up correctly, with the proper equipment and amenities, prior to the start of meetings.  Greet the host upon his or her arrival to the meeting room and ascertain any new requests.
  • Make decisions in a timely fashion as to not disrupt or negatively impact the guest experience

 

Preferred Qualifications:

  • High School diplomas or equivalent; Bachelor’s degree preferred
  • Minimum of five years of conference planning experience in a conference center or corporate environment
  • Previous supervisory experience
  • Excellent organizational skills, with the ability to prioritize tasks and juggle many tasks simultaneously
  • Excellent oral and written communication skills
  • Strong computer skills and knowledge of office technology/equipment
  • Full knowledge of the conference center reservation system
  • Ability to work calmly and effectively in stressful situations
  • Exceptional client service skills to exceed expectations
  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details
  • Discreet, ethical and committed to maintaining a high degree of confidentiality
  • Excelling as a team member, with a passion for delivering the Platinum Service® standard and focused on total customer satisfaction
