Job Description

The Judicial Qualifications Commission (JQC) is an independent, constitutionally established entity responsible for investigating allegations of judicial misconduct involving Florida state judges under Article V of the Florida Constitution. The JQC is seeking an intake and operations specialist to provide clerical and administrative support to the Commission and its small staff. The job requires accuracy, timeliness, and following established policies and procedures under general supervision.

 

Examples of duties and work performed:

  • Composes/drafts correspondence, pleadings, memoranda, reports, emails, and other documents, observing strict confidentiality.
  • Retrieves, opens, date stamps, sorts, and distributes incoming mail. Prepares outgoing mail.
  • Answers phones and directs calls appropriately. Provides basic information to callers regarding frequently asked questions.
  • Serves as the point of intake and sets up all new complaint files, including assigning case numbers and cross-checking for other related previous complaints, logging into the electronically maintained secure data filing system, and performing scanning, copying, and distributing as necessary. Processes additional complaint related correspondence and materials received using same process.
  • Retrieves and verifies data from the case management database to facilitate internal management of complaint review; verifies accuracy of dispositional data in the management system and updates complaint status.
  • Monitors Commission agendas and action items; ensures documents and information related to tasks assigned to the JQC staff are distributed appropriately.
  • Works with the Executive Director to monitor the completion of the complaint review process, and other work processes.
  • Annually coordinates and manages the receipt of financial disclosures from judicial officers, scans incoming financial disclosure forms, and manages the financial disclosure process, serving as the first line of contact with judicial officers during the annual disclosure cycle.
  • Prepares and scans complaint-related documents for electronic archiving.
  • Files routine correspondence both electronically and in the file room as needed.
  • Maintains the file room, including categorizing and organizing files, and researching archived complaint files as part of the intake process.
  • Assists in the preparation and is responsible for the distribution of all Investigative Panel meeting and hearing materials.

Education and Training Guidelines

  • Bachelor’s degree.
  • Three years of work experience in business administration, office administration, team leadership, clerical support, or related field.

 

Relevant responsible work experience may substitute for the college degree on a year-for-year basis.
