What you will do:
Duties and Responsibilities -
Fleet Administration- Shall serve as the Fleet Administrator for designated service areas, within the General Services Fleet Management Unit. As such, shall develop and implement vehicle management systems in accordance with CFOP 40-2 to coordinate maintenance and repair for state owned vehicles. Reviews vehicle allocations and recommends changes to maximize utilization of resources. Manages motor pools statewide as necessary. Oversees compliance with established Vehicle Custodian Duties & Vehicle Coordinator Functions (including training new Vehicle Custodians). Works with Program fleet coordinators to ensure that staff are completing training and vehicles are assigned per approved protocol. Manages surplus vehicle process, completes surplus documentation for internal and DMS approval, prepares vehicles for disposal or sale.
Day to Day Fleet Activities- Assists with completion and review of vehicle logs and maintains files on each vehicle. Maintains user data up to date in required systems. Liaisons with management to ensure proper and safe utilization of vehicles. Ensures all vehicles are properly registered, tagged, insured and all necessary and approved equipment and devices are installed and active. Shall maintain systems with vehicle custodians to ensure that adequate license checks are performed and ensures that only licensed departmental staff and registered volunteers utilize state vehicles. Shall maintain monthly vehicle utilization and cost reports for all vehicles within the service area. Serve as fleet fuel card administrator within the service area assigned. Orders and deletes cards as required. Reviews invoices and validates receipts to approve payment. Coordinates Vehicle Repair Approvals and sources vendors to complete repairs. Ensures that Safety Inspections are Completed on Vehicles Periodically. Monitors and reports on vehicles that are due for maintenance. Coordinates disposition of tickets received for various violations.
Accident Reporting/Insurance Coordination - Coordinates collection of liability accident reports and automobile accident reports for each occurrence for submission to Department of Financial Services in conjunction with General Services insurance team and Office of General Counsel. Assists in insurance claim reporting and resolution. Coordinates vehicle repair as needed.
