POSITION SUMMARY: (Hybrid Position)

The Senior Executive Assistant – Legal Services/Legal Services Division provides logistical, tactical, and content support for the General Counsel and Director of Legal Services and their teams. This role serves as a key partner to the Legal function by coordinating meetings, travel, and events, managing functional initiatives and project implementations, financial budgeting, and otherwise providing enterprise Legal support. This role will also perform general office duties, such as answering phone calls and directing them to appropriate parties, ordering supplies, filing, and retrieving corporate documents, records, and reports, and performing related duties as required or requested by supervisors.

MINIMUM QUALIFICATIONS:

  • Exemplifies characteristics of The BAYADA Way: compassion, excellence and reliability.
  • Four (4) year college degree or ten+ (10+) years of experience working as an Executive Assistant to senior leaders in a legal function.
  • Demonstrated record of strong interpersonal and communication skills.
  • Ability to work independently supporting the General Counsel and Director of Legal Services and their teams.
  • Strong knowledge of Microsoft Windows Operating Systems, and Office applications. (Word, Outlook, Excel and PowerPoint), AdobeSign/DocuSign.
  • The ability to maintain confidentiality and to operate with the highest ethical standard and professionalism.
  • Acceptable pre-employment assessment results.
  • Ability to read, write and effectively communicate in English.

PRIMARY RESPONSIBILITIES:

  • Demonstrate and communicate the core values of BAYADA and The BAYADA Way.
  • Develop working knowledge of BAYADA’s mission, services, people, organization, policies and procedures.
  • Demonstrate solid project management, operations, spend analysis, and verbal communication skills.
  • Exercise sound judgment in directing the administrative functions of the Legal function.
  • Meeting/event planning and preparation.
  • Read and analyze incoming correspondence, memos, submissions, and reports to determine their significance and plan their distribution, using discretionary judgment.
  • Manage calendars, schedule meetings, and make travel arrangements for supervisors.
  • Answer phone calls and direct calls to appropriate parties or take messages
  • Perform general office duties, such as ordering supplies, filing and retrieval of documents, records, and reports.
  • Serve as liaison between legal and other enterprise functions to ensure that required deliverables are met.
  • Support Legal function with projects, presentations, due diligence, integration, budgeting, and expense reporting.
  • Support preparing, signing, notarizing, and filing corporate documents.
  • Maintain repository of office specific documents, spreadsheets, databases, as required.
  • Develop a strong understanding of Legal function electronic tools, including Contract Lifecycle Management, matter management, e-billing, etc.
  • Partner with outside counsel to provide Continuing Legal Education (CLE) opportunities to Legal function.
  • Develop core understanding of various work Legal is responsible for and including but not limited to: M&A transactions, lease agreements, business agreements, legal research, policy support, incident reporting, loss prevention and liability claims management.
  • Develop efficient processes or protocols to manage various support tasks and update as needed.
  • Demonstrate solid performance or exceed performance standards in key job dimensions/attributes as defined on the Performance Appraisal for Office Staff.
  • Perform related duties, or as required or requested by supervisor.
