What is the job about?   

The Country Administrative Coordinator will provide administrative support to Country President for country activities, including but not limited to; employee engagement, DE&I, general onboarding, communications, travel, meeting organization, facilities, and front desk. This role is onsite at our Brookshire, TX headquarters 5 days a week.

 

Your main responsibilities:   

  • Organization of multiple meetings and associated logistics, including scheduling, location, agenda preparation, and coordinating food and beverages.
  • Capable of using discretion with confidential information.
  • Send out approved Country Communications in terms of emails, newsletters, and internal postings as needed.
  • Serves as an active member of employee engagement team (social committee) and manages meeting minutes.
  • Assist Country HR with general onboarding as needed, which may include I-9 completion back up, and onboarding for high profile employees, monthly welcome breakfast, etc.
  • Timely submission of expense reports and invoices as needed.
  • Event planning such as corporate meals, or receptions for internal company events.
  • Organization of travel and lodging logistics for external visitors and international travelers, as needed.                                                                                                     

35% Facilities and Front Desk:

  • Support Facilities in general items such as maintaining kitchen to Grundfos standard.
  • Ordering Supplies as needed.
  • Backup to receptionist, with all necessary duties required.
  • Administers check-in/check-out of temporary and vendor security badges.
  • Conference room set up including the arrangement, placement of tables and chairs for various meeting requirements.
  • Compile and report monthly sustainability data as required by group EHS.
  • Lead emergency response team for GCI. Includes conducting drills for evacuation and in office sheltering.

5% Special Projects:

  • Supporting and or leading special project as assigned, not limited to other administrative work, social events, etc.

 

Your background  

We imagine that you have:    

  • High school diploma or equivalent, Associate degree Preferred
  • Experience working with customer service and reception
  • Proficiency in the use of personal computers, preferably Microsoft software applications, such    as Word, Excel and PowerPoint and networked computer systems.

 

Please note that relocation for this position cannot be supported and qualified candidate must have the authorization to work in the USA without support.
