Provide administrative support to four undergraduate and two graduate academic programs, department faculty, department chair, and assistant director. Coordinate student admissions and recruitment efforts; Coordinate course scheduling; Coordinate curriculum revision processes; Coordinate departmental meetings; Manage all department operations; Manage student records and provide course registration and advising support for faculty and students; Create and manage documents, such as meeting agendas, reports, correspondence, and online resources; Maintain and update department website; Supervise work study students; Perform other duties as assigned.
Job Duties/Responsibilities:
Manage administrative needs of the 4 undergraduate programs, program coordinators, research coordinator, faculty, and department chair
Coordinate internal and external communications
Coordinate course scheduling, catalog, and curriculum revision processes
Support accreditation and faculty promotion processes
Manage department records and materials
Maintain department website
Coordinate department faculty meetings and prepare meeting agendas and minutes
Supervise department work study student(s)
Support student recruitment, application, and advising processes
Serve as liaison between department and the registrar’s office and graduate school
Support student course registration and petition processes
Monitor major counts and course enrollments through WEBI and Workday reports
Adhere to legal requirements and regulations, such as HIPAA and FERPA.
Manage procurement, hiring, supplemental pay, and reimbursement processes for the department
Coordinate travel and events for the for the department
Manage physical space and building inquiries including liaison to maintenance and facilities
Minimum Qualifications
High school graduation and at least five years of related experience involving duties of increasing responsibility requiring discretion and independent judgment, or Associate’s Degree and five years of related experience, or a combination of higher education and related experience equal to seven years
Advanced computer skills, including e-mail and calendars, spreadsheets, database management, use of search engines, and other software applications
Effective written and oral communication skills
Organizational skills and ability to effectively multi-task
Ability to establish and maintain effective working relationships with faculty, staff, students and the general public.
Preferred Qualifications:
Bachelor’s degree
Supervisory experience
Experience in a college/university work environment
Advanced proficiency in computer software programs (word processing, spreadsheets)
Experience with university-wide programs (e.g., Workday, WEBI, Time and Room, Canvas, My Courses, etc.)
Strong interpersonal communication skills
Effective time management and project management skills
Problem-solving and decision-making skills
Demonstrated proactivity and self-direction
