Be You

Duke University is looking for a Special Assistant to the Vice Provost Finance and Administration (VPFA) to join our team. This role offers a unique opportunity to serve as the coordinator and point of contact representing and supporting the VPFA for special projects, strategic and routine initiatives, processes, and reports. You will assume the lead on projects assigned by the VPFA, including strategic planning initiatives, and develop presentations that explain complex processes and information. Additionally, you will support and coordinate committees, meetings, and projects, providing high-level administrative coordination and support, including managing the Vice Provost’s calendar.

 

Minimum Requirements

  • Bachelor’s degree in a related field is required. Master’s degree is preferred.
  • A minimum of seven years of experience managing a complex, frequently changing calendar.
  • Experience working in higher education administration.
  • Demonstrated ability to develop professional presentations using Microsoft PowerPoint, including those explaining complex processes and financial and human resources information with heavy use of graphics, charts, and diagrams.
  • Progressive experience with responsibility for managing a senior leader’s calendar, coordinating projects and initiatives, and communicating information in a sensitive and nuanced manner.

This position is:

  • Onsite. The work is performed on-site or at a designated assignment location.

 

Be Bold

  • Lead and coordinate projects and initiatives for the VPFA.
  • Develop and manage certain components of the strategic plan at the direction of the VPFA.
  • Serve as the point person representing and supporting the VPFA for special projects, including key tactical and strategic initiatives, processes, and reports.
  • Track and create reports to maintain awareness of the status of priorities and initiatives, and prepare updates and recommendations to the VPFA.
  • Develop professional presentations explaining complex processes with financial and human resources information using Microsoft PowerPoint.
  • Perform advanced, diversified, and confidential administrative duties, including preparing agendas, memos, and correspondence, attending meetings, recording and distributing minutes and reports, and processing confidential information.
  • Manage daily operations of the office of the VPFA, including managing a busy and shifting calendar, coordinating meetings, and preparing meeting materials.
