Position Description

If you want to work with cutting edge Air Force programs, Serco has a great opportunity for you!   As an Executive Administrative Assistant, you will be working in a classified environment supporting the Special Programs Division (AFLCMC/WAG) at Wright-Patterson AFB, Ohio.  (No telework/remote work at this location).

 

The Fighters and Advanced Aircraft Directorate, Special Programs Division, develops, tests and rapidly fields classified Air Force aeronautical capabilities. AFLCMC/WAG conducts studies to identify new capabilities; transitions laboratory technologies to operational platforms; executes demonstrations; and develops, tests and rapidly fields new capabilities for the warfighter. You will be providing essential administrative support to senior leadership and Division personnel.

 

In this role, you will: 

  • Provides senior leadership administrative support to 170-person division.
  • Track suspenses from the TMT system, distributing to the assigned person, sending responses and following up to avoid late suspenses.
  • Input information and manage various management systems, including Defense Travel System (DTS) and Automated Time Attendance and Production System (ATAAPS).
  • Answers incoming calls for senior leadership. Manages the division director and deputy calendars.
  • Schedule/management of meetings and conference rooms and setting up VTCs. Assists during meetings and scribes meeting minutes as requested.
  • Records custodian—organizes office filing systems and files/retrieves electronic and/or paper graphics materials.
  • Provides support in the planning, formulation, editing, development, and publication of office correspondence (e.g., program documentation, plans, directives, reports, briefings, and other presentations). Ensures documents conform to expectations of Division leadership, including on-time submission.
  • Tracks and reviews military Officer Performance Briefs, Promotion Recommendation Forms as well as other civilian/military awards and official documentation.
  • Manage office supplies and orders.
  • Office operations process development and distribution to office personnel.
  • Setting up Director’s Calls and All Calls.
  • Coordinates reserved parking and escorts for distinguished visitors.
  • In-processing and out processing of Division personnel.
  • Maintain and update recall rosters, organizational charts, duty phone lists, etc.

 

Qualifications

To be successful in this role, you will have:           

  • A U.S. Citizenship.
  • A DoD SECRET security clearance with Single Scope Background Investigation within the last six years and the ability to obtain Special Access Programs (SAP) access and apply for a TOP SECRET clearance.
  • A Bachelor’s Degree with 5 years of relevant experience
    • or a High School diploma with 9 years of relevant experience.
  • To be a self-starter and being able to work independently.
  • A Strong organizational skills.
  • A Strong knowledge of MS Office to include Word, Excel, and PowerPoint.

 

Additional desired experience and skills:

  • Current TOP SECRET security clearance with Background Investigation within the last six years or on Continuous Evaluation. Eligibility for access to Sensitive Compartmented Information (SCI) and Special Access Programs (SAP).
  • 18 months of SAP experience.
  • DoD Acquisition Program Office experience.
