Job Description
We are seeking a detail-oriented and organized File Management Assistant to join our team on a temporary hourly basis. The primary responsibility of this role is to assess and manage old files, determining whether they should be scanned into our document management system, or securely shredded. The duration of the project is expected to be at least six months, depending on need. Key Responsibilities:
- Review and analyze documents in IUF file storage.
- Determine if documents have been previously uploaded and indexed.
- Identify files that require scanning and indexing into the OnBase document management system.
- Securely shred files that have been successfully scanned and indexed.
- Conduct research when necessary to locate account numbers.
- Assist in maintaining a well-organized document retention system.
- Support ongoing projects in collaboration with other Administration team members as needed.
Qualifications
Knowledge, Skills, and Abilities
- Strong attention to detail is essential for accurately assessing and handling files.
- Ability to work independently and efficiently, showing self-motivation and dedication to the task.
- Comfortable working with physical documents and able to handle confidential and sensitive information.
- Excellent organizational and time-management skills.
Education and Experience
- High School Diploma or Equivalent
- Basic proficiency and familiarity with basic computer programs such as Microsoft suite, and the ability to learn new software.
- Familiarity with OnBase is a bonus, though training will be provided for the role as well.
