Duties and Responsibilities
Work as the Financial Unit Manager (FUM) for departments in Pod-3. Review/approve all requisitions, expense reports and spending against specific funding sources.
Research committed costs and take the necessary steps to clear if necessary.
Field, assign as needed and work with faculty to prepare expense reports, making sure to comply with all business and travel policies and regulations. Be primary point of contact for One Cards, help with expense reports, sends out reminders to faculty. Monitor reports for Central Administration and take appropriate action.
Expense delegate for several faculty members to assist in the preparation of travel reimbursement.
Purchase order and invoice reconciliation
Guest Travel Coordinator designation in order to book travel and conference registrations as needed for designated individuals to potentially include guests and non-VU employees. Prepare expense reports following travel bookings for guest speakers. Stay up to date on all Travel and One Card policy and regulatory issues.
Serve as POD subject matter expert for procurement, travel, and One-Card.
Serve as backup Procurement Requester for faculty members in various labs as needed; place orders for equipment, lab supplies and other items as needed to sustain research and administrative functions.
Must be able to research and analyze budget information to determine if costs are appropriate to funding sources.
Qualifications
A Bachelor’s or Associates Degree is preferred.
Experience and Skills:
Skill in organizing resources and establishing priorities is strongly preferred
Vanderbilt experience is preferred
Excellent Microsoft Suite skills with advanced skills in Excel are necessary.
Must have strong communication skills
