Job Description

Dance Administrator and Assistant to Chair

The position is an integral administrative part of the Executive Committee of the Department of Dance and works closely with the department chair in managing a broad range of responsibilities in support of the department of Dance.  Primary responsibilities include the management of all faculty hiring and faculty advancement, management of all scholarship decisions and disbursements, supervision of all part-time office student and non-student staff, management of External Relationships, and event planning.


What you’ll do in this position:

  • Provide strategic and administrative support for 18 full-time faculty members in the Department of Dance as requested by the Chair
  • Manage the Department of Dance office and provide executive-level coordination for all departmental meetings, including developing agendas for the Executive Committee and managing strategic scheduling needs.
  • Oversee the maintenance of course offerings in the university catalog and manages the scheduling of all instructional spaces.
  • Oversee departmental data reporting, including maintaining analytics related to student progress, demographics, and program health.
  • Manage departmental external relations strategy by identifying, tracking, and communicating stories to College External Relations.
  • Advise faculty candidates throughout the rank and status process, establishing timelines, clarifying expectations, and ensuring alignment with university policy.
  • Collaborate with the Executive Committee and Rank and Status Committee to identify and secure qualified external reviewers.
  • Lead the hiring processes for full-time and adjunct faculty by partnering with faculty and leadership to develop and post job descriptions that reflect departmental priorities and university standards.
  • Drive the onboarding process for all new faculty, ensuring a consistent and professional transition into the department.
  • Provide strategic leadership over all student financial awards by evaluating applications and determining recipients of departmental scholarships, grants, and awards.

What qualifies you for this role:

Required:

  • 5+ years experience in secretarial, office administrative, small business management, dance management, or related work
  • Excellent interpersonal skills
  • Ability to handle multiple tasks simultaneously, and to be detail-oriented
  • Self-motivated and an ability to work without direct supervision
  • Comfortable working in a busy, often noisy environment
  • Ability to manage multiple schedules, anticipate needs, and set up reminders of deadlines and action items
  • Advanced writing and editing skills
  • Basic accounting skills
  • Type at least 60 wpm with accurate spelling
  • Proficiency in Microsoft Suite (Word, Excel, Outlook, and PowerPoint)
  • Proficiency in Google Docs, Spreadsheets, Slides, and Google Drive management
  • Basic accounting and financial management
  • Proficiency at scheduling and managing multiple, overlapping calendars
  • Successful personnel management, including conflict resolution, with a wide range of personnel, including students.

Preferred:

  • Bachelor’s degree
  • Working knowledge of FERPA regulations
  • Familiarity with workday, AIM, Y Train, Box, etc.
  • Experience with desktop publishing
  • Experience with dance, media or other related areas
