Job Summary:
This is a full-time role, working remotely and reporting to the Director of Operations, Clinical Practice. This role is responsible for the building and maintaining of provider schedule templates. This includes evaluating and implementing different scheduling functionality to enhance template design to improve throughput and/or access.Core Responsibilities:
- Primarily responsible for coordinating the implementation and maintenance of clinical templates.
- Fulfills schedule change requests quickly and accurately, consistently seeking opportunities to develop and utilize best practice strategies and techniques.
- Independently carries out project work and meets all project deadlines.
- Collaborates and coordinates with practice operations leaders to process and manage requests for schedule changes through to completion.
- Demonstrates ability to identify problems and follow through until resolution. Exhibit sound and accurate decision making and serve as an expert resource for problem solving.
- Facilitate dialogue around additional enhancement opportunities that may improve workflows, access, or leverage automation.
- Monitors scheduling impacts on capacity, communicating issues and evaluating solutions with leadership.
- Consistently meet or exceed Service Level Agreements (SLA) when evaluating and resolving requests.
- Document and revise master files to track changes and ensure that they are always up to date.
- Monitor and communicate deviations in master template, approved exceptions to master schedules, and concerns.
- Performs other support functions relating to Capacity Management to ensure an efficient, high quality & safe experience for patients, providers, and staff
- Participates in other work, projects, meetings, and committees as assigned.
Qualifications:
- 2+ years of healthcare operations experience
- 1+ years of experience building and maintaining clinical scheduling systems
- Fluent within EHR and data management systems, such as Google sheets and Looker
- Experience collaborating with clinical professionals, support staff, and patients
- Exceptional internal and external customer service
- Demonstrated track record of meeting organizational goals and contributing to process improvement plans
- Remain flexible and adaptable within a fast-paced environment and with rapidly changing requirements, working well in ambiguity; able to quickly learn new processes and procedures.
- Ability to manage multiple tasks simultaneously, set priorities and understand the enterprise environment and competing priorities in conjunction with developing/meeting project goals.
