Job Summary
The Executive & HR Assistant provides administrative support to the senior leadership team as well as general office management support for the Chicago office. This position is expected to perform administrative tasks focusing on calendar management, completing expense reports, preparing correspondence, managing travel plans/itineraries, meeting agendas/notes, and recordkeeping. This role should have a high level of confidentiality and time management skills.
Job Duties
- Plans, coordinates and ensures the Senior Leadership Team’s schedules are followed and respected.
- Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Executive Staff’s time. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Senior Leadership Team, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Manages a variety of special projects for the President, some of which may have organizational impact.
- Prioritizes conflicting needs; handles situations expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
- Performs office management duties for the Chicago corporate office, including ordering supplies, managing access, planning meetings, welcoming visitors.
- Understand the organization, points of contact, and where to find the right resources when inquired by management teams.
- Serve as main contact for issuing purchase requests for the Chicago office and R&D center.
- Assisting with the administration of various employee portals.
- Perform all other duties as assigned.
Qualifications And Experience Requirements
- Skills, knowledge, and experience required for this position are bachelor’s degree or equivalent work experience required.
- Progressive work history with at least 5 years of experience supporting C-Level Executives.
