Opportunity at a Glance
**This is a hybrid role**
We are seeking a highly motivated and engaged individual to provide administrative support to Adtalem’s Talent Acquisition Leader and team, Vice President Human Resources and other HR team members. We’re looking for an individual who is comfortable working with senior leaders, executives, other administrative assistants, and all levels of Adtalem employees.
The Administrative Assistant will provide day-to-day support including complex calendar and meeting scheduling, expense and budget coordination and tracking, process management and other ad-hoc projects including rollout and adoption of our ATS system.
The individual will represent Adtalem in dealings with internal and external parties while maintaining a high level of professionalism. The successful candidate will anticipate needs and possess strong attention to detail, flexibility and the ability to thrive in a dynamic environment. This individual will use independent and sound judgment to prioritize and balance multiple and sometimes conflicting requests in a highly professional manner.
We are a high performing team that meet in person to learn and collaborate as needed. This role is considered hybrid, which means you’ll be assigned to our Chicago office and given the flexibility to work remotely. We are looking for someone to be on-site 2-3 days a week.
Responsibilities
- Maintain Talent Acquisition finances including all expenses, tracking and processing of invoices and keeping all spreadsheets up to date.
- Coordinate and schedule meetings with internal and external participants, including executive level candidates, internal leaders, and vendors.
- Draft, update and edit documents, including presentations, using MS Office applications.
- Assist with compiling information for inclusion in reports or presentation materials (e.g., charts, graphs, or tables as necessary).
- Provide general office support including directing requests, maintaining confidential documents, preparing correspondence and managing various meeting follow-up/action items.
- Provide onboarding support for all new team members and hiring managers.
- Manage (including processing and tracking) of all international background checks.
- Provide back-up support to other assistants as needed.
- Proactively identify systems and processes to create greater efficiencies.
- Special Projects, as needed.
Qualifications
- High school diploma or GED plus relevant experience. Bachelor’s Degree preferred.
- Minimum five years in an administrative assistant role, with at least two years supporting senior leaders in a corporate setting ideally within Human Resources or Talent Acquisition.
- Excellent proficiency in Microsoft Office applications: Outlook, PowerPoint, Excel, Word, SharePoint.
- Ability to work both autonomously with limited guidance and in a team setting.
- Highly resourceful with the ability to multitask and thrive in a dynamic environment.
- Ability to effectively prioritize and adapt to changing needs.
- Superb organizational skills and attention to detail.
- Ability to maintain confidentiality and exercise discretion.
- Proven problem solving and critical thinking skills.
- Strong written and verbal communication skills.
Additional Information
In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $18.00 and $32.00. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.
