About the role

Summary

The Coordinator, Business Operations provides comprehensive administrative and operational support to ensure the smooth and efficient functioning of the Pediatrics clinical division. This role supports the Department’s mission by coordinating key activities across clinical services, education programs, and research operations. The Coordinator helps optimize day‑to‑day workflows, facilitates communication among stakeholders, and contributes to an organized, responsive, and service‑oriented office environment.

Job Duties

General administrative support:
• Answers department main phone line, screen and route telephone calls, assist in maintaining contact list updates. 
• Assists with department mail when assigned. 
• Maintains division shared email inbox & calendar.
• Award Letters from Faculty on letterhead.
• Works in conjunction with other assistants to ensure efficient administrative functions.
• Responsible for learning TCH's applications and administrative processes.
• Works as a go-to resource for Faculty.
• Prepares and process purchasing orders.
• Composes formal and informal correspondence including, but not limited to, creating and formatting presentations.
• Calendar scheduling and maintenance for faculty.
• Provides administrative support to faculty and their programs, to include maintaining calendars, scheduling meeting, finding meeting locations, attending meetings, creating agendas and taking notes, creating documents and/or presentations and participating in team huddles.
• Manages Faculty CV maintenance.
• Performs other job-related duties as assigned. 

Specific position duties: 
• Assists with planning and organizing special events within the department.
• Serves as travel arrangers for faculty travel for conferences, prepare reimbursements for travel and other expenses in the institutions' travel systems (Concur). 
• Coordinates, monitors and maintains faculty credentialing with hospital and billing departments is up-to-date and will prepare reappointments for signatures. 
• Ensures faculty are completing all required trainings and certifications and renewing their medical license and DEA. 

Academic Support Duties:
• Assists faculty by pulling articles when working on book chapters or publishing articles.
• Maintains resource files for medical students.
• Assists faculty or students with requests.
• Maintains divisions shared Master Learner Schedule
• Coordinates rotations for NP Students, Residents, Medical Students.
• Collates and distributes learner schedules from web-based scheduling programs (eValue, BCM Admin Academic Portal, AmIOn).

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Proficient in Microsoft Outlook, especially calendars.
  • Healthcare administrative support experience.
